We are looking for a detail-oriented and organized Operations Assistant who will support the daily administrative and operational needs of all stores. This role is ideal for someone who enjoys coordination, logistics, and working behind the scenes to ensure smooth store operations.
What You’ll Do
Key Responsibilities- Workforce & Attendance Administration
- Validate and monitor Daily Time Records (DTRs) within prescribed cut-off periods.
- Coordinate attendance-related concerns with the HR Department.
- Maintain and update the Manpower Contracted List monitoring file on a monthly basis.
- Monitor, record, and report contractors with excessive tardiness and unauthorized absences.
- Store Operations Transactions (RPRO)
- Prepare and create Purchase Orders (POs) per store and company.
- Monitor and follow up on PO approvals.
- Maintain and update the PO Monitoring File.
- Prepare and process Merchandise Issue Forms (MIFs) and related documentation.
- Prepare Project Cost Report (PCR) and secure required approvals.
- File and monitor MIF approvals through designated systems and tracking tools.
- Mall Compliance & Permit Processing
- Manage and process requirements through SMDS/SSPOA portals.
- Facilitate and monitor work permit applications and renewals.
- Ensure compliance with mall and building administration requirements.
- Coordinate permit-related concerns with store personnel and mall representatives.
- Administrative Support
- Maintain accurate operational records and monitoring files.
- Track the status of operational requests and approvals.
- Provide reports and updates to management as needed.
- Support other operational and administrative tasks assigned by the Store Operations team.
- Bachelor’s degree in Business Administration, Management, Marketing, or related field
- At least 3 years experience in retail store operations or administrative support
- Advanced knowledge in Microsoft Office (Excel, Word, PowerPoint)
- Strong organizational and coordination skills
- Good verbal and written communication skills
- Ability to multitask and work in a fast-paced environment
- Team player who can also work independently
