Duties and Responsibilities:

  • Provide high quality administrative support to Health Rehab Coordinators (HRC) & HSE group team. This includes coordinating invoicing, compensation wage processing, wage reconciliations and admin functions relating to HSE.
  • Provide general administrative services including car pool bookings, credit card reconciliations, generating reports, create OneNote documents, archiving & invoice management.
  • Retrieve, extract & consolidate employee data & run pay history reports.
  • Raise overhead work orders & sub ledgers for insurance claims.
  • Coordinate review & approval of incoming insurance and injury related payments.
  • Update & cross check insurance payment reports.
  • Enter payment data into MATES system.
  • Issue payment reports to payroll for processing.
  • Audit & confirm planned payroll payments are correct.
  • Complete insurance payment request forms.
  • Determine fortnightly payments to be collected from insurer.
  • Submit claim payment forms to the insurer.
  • Receive and confirm remittances/cheques & send to Finance for reconciliation.
  • Address queries from internal & external stakeholders & troubleshoot as required.

Qualifications:

  • Certificate in Business Administration or related field desirable.
  • Confident and capable user of MS Office Suite (particularly Word, Excel, & OneNote) to assemble and maintain documents & records.
  • Basic understanding HSE Information Systems (e.g. Cintellate)
  • Basic understanding of procurement systems Fast Track, Discoverer, JDE, E5 Effective communication
  • Ability to clearly convey information quickly and effectively
  • Excellent written &; verbal communication skills. Time management & outcome focused
  • Ability to manage time and resources to ensure that work is completed efficiently. High-involvement team member
  • Ability to develop relationships with Insurance providers and Internal HRC, HR, Payroll, and other internal divisions team members to facilitate the accomplishment of individual and group work goals.
