Job Summary
We are looking for Virtual Assistants to play a critical role in delivering a smooth, welcoming, and supportive experience for prospective and current patients. This role requires strong communication skills, sound judgment, and the ability to manage patient coordination and follow-ups with professionalism, empathy, and autonomy.
Key Responsibilities- Serve as the primary point of contact for prospective and current clients, guiding them throughout the process with clarity, confidence, and professionalism.
- Initiate engagement with warm leads by scheduling and conducting initial consultations, ensuring clients feel informed, supported, and understood.
- Provide clear, expert explanations of services, processes, documentation requirements, and available financial or payment options.
- Build strong rapport with clients through thoughtful conversations that identify needs, address concerns, and support informed decision-making.
- Maintain and nurture relationships with current, previous, and prospective clients to ensure continuity of care and long-term engagement.
- Track and maintain detailed records of client interactions, follow-ups, and completed transactions in compliance with confidentiality and privacy standards.
- Support the progression from consultation to clinical coordination by ensuring timely follow-ups and smooth handoffs to internal teams.
- Actively manage a pipeline of prospective clients, including follow-up with individuals who did not proceed after their initial consultation.
- Demonstrate ethical, client-centered practices while adhering to all company policies, protocols, and procedures.
- Conduct professional, open-camera Zoom calls for consultations and ongoing client engagement.
- At least 3 years of experience in Sales (Closing sales) is a MUST
- At least 1 year of experience in handling US clients
- Background in the healthcare industry (in a US setting) is preferable
- Strong verbal and written communication skills with excellent attention to detail
- Ability to build rapport and trust with patients and clients
- Self-motivated, proactive, and confident, with a compassionate and professional demeanor
- Comfortable handling sensitive conversations with empathy and discretion
- Ability to manage multiple priorities in a fast-paced, remote environment
- Personal laptop (atleast intel i5 or equivalent), noise-canceling headset, and functional camera
- Dedicated, quiet workspace suitable for confidential patient communication
- Reliable internet connection with a backup plan for power or connectivity disruptions
- Comfortable using productivity and work-tracking tools (e.g., ActivTrak)
