The AR/AP Specialist plays a critical role in maintaining financial accuracy across a fast-growing automotive business. Qualifications

Qualifications
  • 3-5 years of hands-on AR and/or AP experience
  • Experience reconciling invoices to inventory or purchase orders
  • Strong working knowledge of QuickBooks Online (required)
  • Experience with Brex or similar expense systems is a plus
  • Strong Excel / Google Sheets proficiency
  • Excellent attention to detail and high-volume accuracy
  • Comfortable working in a multi-location environment
  • Strong communication skills for vendor interaction
  • U.S. vendor exposure preferred
  • Automotive or parts-related experience is a plus

  • Open to evolving responsibilities as new locations are added
  • Must be available to work U.S. business hours (Central Time)

Responsibilities

Accounts Payable
  • Process vendor invoices and match to purchase orders and receipts
  • Code invoices accurately to correct GL accounts and shop locations
  • Schedule and prepare vendor payments in line with terms and internal controls
  • Communicate with vendors to resolve discrepancies and billing issues
  • Maintain organized AP documentation and audit trails
Accounts Receivable
  • Post and apply customer payments accurately
  • Monitor AR aging and follow up on open items
  • Support reconciliation of AR and related clearing accounts
  • Assist in maintaining accurate customer balances across multiple locations
Parts & Inventory Reconciliation
  • Track parts orders and match receipts to vendor invoices
  • Reconcile discrepancies between inventory systems and accounting records
  • Work with shop managers to confirm parts align with jobs and billing
  • Identify gaps, overbilling, or missing documentation and coordinate corrections
Process & Reporting Support
  • Support monthly close activities related to AR/AP
  • Use spreadsheets and AI tools to streamline repetitive tasks
  • Recommend workflow and automation improvements as volume grows
  • Assist accounting team during high-volume or deadline-heavy periods
