IT and Admin Specialist

Job Summary:
The IT and Admin Officer manages both the IT and administrative functions of the company which includes checking and maintaining IT equipment and network daily, keeping data security with regular back-ups, helping new hires and expats with IT and admin set-up, manages office repairs and maintenance, supervising admin tasks and supporting occupational safety measures.
Information Technology and Technical Support Services- Works as the company’s network administrator
- Coordinates to the parent and regional company’s IT Team and received updates on cybersecurity, prevention on mail threats and spam, and other IT-related concerns of the company
- Monitors the Cybersecurity Training provided by parent company's IT for all local employees’ compliance
- Manages the web access and application restrictions
- Conducts PC troubleshooting, reformatting, and upgrades of IT resources
- Manages the company’s software applications particularly for accounting, HR, operations etc.
- Sets-up internal and external network set-up and VPN
- Facilitates email, door access and other account creation for all staff
- Sets-up new PC and other related items for deployment
- Facilitates printer set-up and management
- Monitors the company’s software renewal, purchase or upgrade and recommends alternative software replacement to management
- Conducts network hardware maintenance
- Monitors and coordinates internet access and usage
- Monitors and maintains CCTV access and usage
- Acts as the overall point of contact for the company’s procurement activities particularly outsourced goods and services, IT products and office requirements
- Prepares and facilitates the company ID layout and business card creation and distribution
- Manages the company’s equipment such as log, tags and deploys to concerned parties
- Coordinates with the building administration for work permits, access, and other related concerns
- Coordinates office maintenance repair to vendors and suppliers
- Assists in the government -related documentation and other company permits, registration, licenses etc.
- Communicates with the satellite office’s IT management and monitors building administration requirements
- Creates Request for Payment (RFP) for payment to vendors/suppliers
- Performs basic administrative support to all divisions
- Sources vendors and suppliers and facilitates its accreditation
- Prepares the vendors and suppliers comparison report and other documents
- Prepares request for payment (RFP) and other purchase requirements
- Supervises administrative functions, including office management, facilities, procurement, and support services both for foreign and local employees
- Supports routine maintenance and repairs, schedules inspection, and coordination of emergency repairs
- Coordinates with the Building Admin and secures work permits/gate pass as needed
- Ensures facilities meet health and safety regulations, manages security measures, and collaborates with vendors for safety and compliance
- Assist in the budget preparation and vendor coordination, negotiates contracts, manages budgets and work with external service providers.
- Assist in the planning of renovations, refurbishments, and upgrades to enhance efficiency for infrastructure improvements
- Assists in allocation of office space, managing supplies, and optimizing the use of equipment for space and resource management
- Support occupational safety management requirements
- Oversees and coordinates a fleet of vehicles to ensure efficiency, safety, and cost-effectiveness and handles the following: (Vehicle Maintenance, Fuel Management, Driver Monitoring, Route Optimization, Compliance with regulations)
- Performs other duties that are assigned from time to time.
- Education – Graduate of Bachelor's degree in Information Technology, BS Computer Science, Engineering, or any related field.
- Experience – At least 3 years of relevant experience in IT Technical Support, software maintenance and cyber security

- Proven experience in IT support and administrative roles
- Strong technical knowledge of computer systems, networks, and security protocols
- Above average organizational, problem-solving, and communication skills
- Ability to multitask and work efficiently under pressure
- Above average analytical, organizational and leadership skills
- Willing to be assigned in Makati City
- On-site work arrangement
- Occasionally visits our satellite office in Manila
