Sales Support Specialist

Job Summary:
The Sales Support Specialist is responsible for efficiently managing the sales order process, coordinating with customers, and addressing inquiries and concerns. This role involves organizing purchase orders, verifying stock availability, confirming delivery schedules, and maintaining clear communication with both customers and internal teams.
Key Duties and Responsibilities:
- Collect purchase orders from customers through various channels (e.g., email, Viber, SMS, calls, fax).
- Organize and file purchase orders systematically by creating individual folders for each customer.
- Check system inventory to ensure stock availability for all confirmed purchase orders.
- Coordinate and confirm delivery schedules with customers.
- Collaborate with the logistics team to arrange and confirm delivery locations.
- Input purchase order details into the Order Sheet using Google Sheets or similar platforms.
- Conduct follow-up calls with new and existing customers for order confirmations and updates.
- Address customer inquiries promptly and professionally.
- Perform telemarketing tasks to promote products or services to potential and existing customers.
- Handle customer concerns and complaints, ensuring responses within 15 minutes of inquiry.
- Work closely with the logistics team to resolve any issues related to delivery locations.
Qualifications:
- Bachelor’s degree in Business or a related field.
- Experience in sales documentation or a similar role is a plus, but not required.
- Proficiency in data entry and data management.
- Strong attention to detail with the ability to identify errors and inconsistencies.
- Excellent organizational skills and ability to manage large volumes of documentation.
- Familiarity with tools such as Google Sheets and other relevant software for data and document management.
- Effective written and verbal communication skills.
- Ability to work independently as well as collaboratively within a team.
- Strong problem-solving skills to address discrepancies in sales documentation.
- Knowledge of regulations and compliance standards relevant to sales documentation.
