We're looking for a highly organised and detail-oriented Technical Support & Audio Production Admin Coordinator to join our growing Australian business. This is a unique role that combines customer service, administration, audio production, and cloud phone system support.
You'll work with Australian businesses to create professional telephone greetings, On Hold Messaging, IVR menus, and automated phone system recordings while ensuring every project is delivered accurately and on time.

What We're Looking For- Excellent spoken and written English communication skills, with the confidence to provide outstanding customer service and build strong relationships with Australian clients over the phone and via email.
- Previous experience in technical support, IT Helpdesk, telecommunications, VoIP, cloud phone systems, administration, project coordination, or virtual assistance.
- Highly organised with exceptional attention to detail and the ability to manage multiple projects while meeting deadlines.
- Tech-savvy, quick to learn new software, and comfortable working with cloud-based systems, Microsoft Office, Google Workspace, CRM platforms, and AI tools such as ChatGPT or Microsoft Copilot.
- A proactive, reliable, and self-motivated individual who can work independently, think critically, troubleshoot problems, and take ownership of tasks from start to finish.
- Experience with audio editing, multimedia software, or phone system administration is highly regarded but not essential as training to different tools & software are provided
- Manage the end-to-end production of On Hold Messaging projects, from client briefing through to final implementation and quality assurance.
- Communicate confidently with Australian clients via phone and email to gather requirements, provide project updates, obtain approvals, and deliver exceptional customer service.
- Research client businesses and create, edit, proofread, and refine professional audio scripts using AI and productivity tools.
- Produce, organise, and maintain audio files, voice recordings, music selections, and production documentation with exceptional attention to detail.
- Configure and maintain cloud-based phone system greetings, IVRs, voicemail messages, holiday schedules, call routing, and other telephony prompts.
- Perform basic technical troubleshooting, testing, and quality assurance to ensure phone system prompts, call flows, and audio productions are functioning correctly before deployment.
- Coordinate with clients, technicians, and internal teams to manage production schedules, implementation, maintenance requests, and ongoing system updates.
- Conduct proactive client check-in calls to ensure phone system messaging remains accurate, up to date, and aligned with each client's business.
- Maintain accurate project records, customer documentation, and production histories while managing multiple projects and deadlines.
- Provide general administrative and operational support while continuously improving production processes and customer experience.
