A Customer Service Associate's primary responsibility is to maintain a positive relationship with the customers. This function must be performed while ensuring that the Company's policies and procedures are adhered to.
Functional Duties & Responsibilities:
System Data Integrity- Ensure completeness and accuracy of customer and transaction data prior to system confirmation (sales transaction, leasing conversion, rebooking of accounts)
- Validate buyer’s or tenant’s data
- Ensure completeness, consistency and accuracy of submitted documents
- Ensure proper tagging is done in the system for all transactions
- Confirm (approve) transactions with standard payment terms and complete requirements under the following conditions:
- With approved terms sheets
- Process all Leasing transactions (system activation, renewals, adjustments) and update system data accordingly
- Constantly update buyer and tenant data
- Respond promptly and professionally to incoming customer inquiries / requests
- Provide relevant and regular feedback to the customers
- Customer issues and request
ii. Product updates
iii. Procedural updates- Sellers
- Provide information on release of Contract to Sell (CTS) to the buyer (or Contract of Lease, when applicable)
ii. Monitor and follow up signed CTS (or Contract of Lease, when applicable)
iii. Follow up lacking requirement- Communicate inquiries to relevant individuals and departments
- Provide relevant and regular feedback to Project Leads on customer concerns
- Provide relevant and regular feedback to Functional Lead on issues that affect policies and procedures
- Recommend and suggest improvements on customer service policies and procedures based on customer feedback
- Adhere to the Data Privacy Act
- Document customer interactions properly
- Ensure all necessary documents are routed, signed, (notarized, when necessary) and transmitted to the interested parties:
- Reservation Agreement
ii. Contract of Lease
iii. Contract to Sell
iv. Deed of Absolute Sale- Deed of Assignment (if applicable)
- Ensure timely completion of all requirements for the following documents:
- Preparation of DOAS
ii. Payment of Transfer Tax
iii. Buyer’s Docket
Qualifications/Requirements
Graduate of any business courseAt least 1-2 years of related work experience
Excellent oral and written communication skills
Strong customer focus and problem-solving abilities
Basic computer skills (email, MS Office, CRM systems)
Good multitasking and time-management skills
