Overview
We are seeking a Construction Project Coordinator / Executive Assistant for a boutique design-build firm based in Bradenton, Florida, specializing in custom homes, renovations, and commercial construction projects along Florida’s Gulf Coast.The company delivers high-quality craftsmanship with a strong emphasis on organization, communication, and client experience.
The Construction Project Coordinator / Executive Assistant is going to support the project management team with administrative and coordination tasks. This is a fully remote, full-time role requiring strict adherence to EST working hours and full integration into our daily operations.
This role is primarily administrative in nature, focused on data entry, scheduling, and coordination within Buildertrend and related systems. The ideal candidate is detail-oriented, process-driven, and capable of functioning as an active, accountable member of a fast-paced construction team.
Key Responsibilities
Project Coordination & Administrative Support- Assist with data entry across Buildertrend and internal systems
- Support estimating workflows through data input and organization (not calculations)
- Coordinate material sourcing and pricing requests
- Track project progress and maintain up-to-date records
- Update project information and ensure accuracy across platforms
- Assist with document creation, processing, and file management
- Maintain organized digital records and project documentation
- Manage calendars, schedules, and task coordination for project team
- Coordinate meetings, timelines, and internal workflows
- Communicate with clients primarily via email and internal platforms
- Make outbound calls to vendors, suppliers, and subcontractors as needed
- Gather and relay project-related information to appropriate stakeholders
- Provide day-to-day administrative support to the project management team
- Work within project management platforms (primarily Buildertrend)
- Assist with inbox management and task follow-ups
- Support internal coordination across multiple ongoing projects
- Participate in team meetings and maintain active communication throughout the day
- Operate as a fully integrated, real-time member of the team
- Buildertrend proficiency (required / top priority)
- Strong administrative and organizational experience
- High attention to detail and accuracy
- Excellent written English communication skills
- Experience with scheduling, data entry, and workflow coordination
- Proficiency in Google Workspace and/or Microsoft Office
- Ability to work independently while remaining highly responsive
- Minimum 3 years of professional work experience preferred
- Fluent Spanish (beneficial but not required)
- Experience supporting construction or project management teams
- Familiarity with similar project management platforms
- Experience working with U.S.-based companies
- Proficiency using AI tools for productivity and document creation
- Candidates may be required to demonstrate Buildertrend proficiency via testing
- Completion of Buildertrend training/bootcamp (unpaid, pre-start) may be required
- Must be comfortable with a high-accountability, team-integrated work environment
- Monday–Friday, 8:00 AM – 4:00 PM EST (strict schedule)
- Continuous availability during working hours (no split shifts or flexible hours)
- Active webcam presence throughout the workday as part of team integration
- Dedicated home office setup (no public or shared work environments)
- Reliable high-speed internet with backup connection required
- Long-term commitment expected (3–5+ years preferred)
