Payroll Specialist
Job Purpose
The Payroll Specialist is responsible for accurate and timely payroll processing, managing compensation records, and handling government-mandated deductions. This role ensures proper payroll administration using HRIS systems while addressing payroll-related concerns and ensuring compliance with labor laws and tax regulations.
Job Summary
The Payroll Specialist will manage payroll operations end-to-end, ensuring employees are compensated correctly and on time. This role requires hands-on experience with payroll software, tax computations, and benefits administration. The position also involves generating reports, resolving payroll discrepancies, and working closely with Finance and HR teams for payroll compliance and audits.
This is an onsite, full-time, permanent position for individuals with strong payroll expertise and experience using HRIS payroll systems.
Key Result Areas and Functions
Payroll Processing and Compliance- Compute and process monthly salaries, overtime pay, bonuses, and deductions.
- Maintain and update payroll data within the HRIS.
- Process statutory deductions and contributions (SSS, PhilHealth, Pag-IBIG, and BIR withholding tax).
- Validate payroll inputs such as timekeeping records, allowances, and salary adjustments.
- Review payroll computations before submission for disbursement.
- Maintain accurate employee payroll profiles, including salary structures and tax classifications.
- Generate payslips, payroll reports, and tax summaries for review and compliance.
- Prepare annual tax filings (BIR 2316, Alphalist, etc.).
- Track payroll costs and variances for management reporting.
- Assist in payroll audits and compliance reviews.
- Address employee concerns on salary discrepancies, tax deductions, and benefits adjustments.
- Provide guidance on compensation breakdown, loan applications, and back pay computations.
- Coordinate with Finance and Accounting for payroll disbursements and funding requests.
- Investigate and resolve payroll errors and miscalculations.
- Support employees in accessing HRIS payroll features and payslip retrieval.
- Process and submit monthly remittances to government agencies.
- Reconcile government contributions and employee deductions.
- Ensure proper processing of tax filings, loan deductions, and benefit claims.
- Stay updated with Philippine labor laws and tax regulations affecting payroll.
- Work with auditors and legal teams for payroll-related compliance reviews.
- Input and maintain payroll data in the HRIS, including salary modifications and tax updates.
- Identify areas for process improvement in payroll operations.
- Support payroll system updates and troubleshooting with IT and HR teams.
- Generate payroll analytics and workforce cost reports.
- Train employees on self-service payroll tools and HRIS functionalities.
Job Qualifications
Education and Certification- Bachelor’s degree in Human Resources, Accounting, Business Administration, or a related field.
- Training or certification in Payroll Processing, Compensation & Benefits, or HRIS systems is an advantage.
- Extensive experience in payroll processing and payroll compliance.
- Strong knowledge of HRIS payroll systems for managing payroll transactions.
- Familiarity with Philippine labor laws, tax computations, and government-mandated benefits.
- Ability to handle high-volume payroll processing with precision.
- Experience in preparing payroll reports, tax summaries, and compliance documentation.
- Payroll Accuracy: Processes salaries, deductions, and statutory contributions without errors.
- Analytical Thinking: Identifies and corrects payroll discrepancies efficiently.
- Data Management: Organizes and secures payroll records and employee compensation data.
