Position Title: Administrative Assistant
Reporting To: Country Director (with guidance from General Services/Admin Division Head)

Location: East Asia Regional Office – Philippines

Job Purpose:

Provide administrative, secretarial, and logistical support to the Country Director and the regional office, ensuring smooth operations of the office and compliance with organizational procedures.

Key Responsibilities:

  • Manage schedules, appointments, and correspondence for the Country Director.
  • Prepare documents, reports, and presentations for internal and external meetings.
  • Coordinate office logistics, including travel arrangements, procurement, and office supplies.
  • Maintain accurate records, databases, and filing systems.
  • Support HR-related activities such as onboarding, documentation, and staff communication.
  • Assist in organizing meetings, workshops, and events.
  • Serve as the point of contact for internal and external stakeholders.

Qualifications & Competencies:

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Minimum 2–3 years of experience in administrative support within an NGO or corporate environment.
  • Strong organizational and multitasking skills.
  • Proficient in Microsoft Office Suite and communication tools.
  • Excellent written and verbal communication skills.
  • High degree of discretion, confidentiality, and professionalism.
