The Business Systems Coordinator is responsible for the administration, maintenance, and optimisation of key business systems used across the departments and stores. This role ensures these systems are functioning effectively, meeting user needs, and supporting the operational efficiency.

The Business Systems Coordinator will act as the primary point of contact for users, providing training, troubleshooting issues, and identifying opportunities for improvement.

Key Responsibilities:

System Administration:

  • With our system vendors, manage user access and permissions for systems like HubSpot, Workwear Management System, OneDrive, Shopify, and others as assigned.
  • Ensure vendors are performing regular system maintenance, including updates, backups, and security checks.
  • Troubleshoot system errors and resolve user issues.
  • Monitor system performance and identify areas for improvement.

User Support:

  • Provide training and support to system users across different departments and stores.
  • Develop and maintain user documentation and training materials.
  • Act as the primary point of contact for user inquiries and issues.
  • Conduct user surveys and gather feedback to identify areas for improvement.

System Optimisation:

  • Analyse system usage data to identify trends and areas for improvement.
  • Recommend and implement system enhancements to improve efficiency and user experience.
  • Collaborate with stakeholders across departments to understand their needs and ensure systems are meeting those needs.
  • Stay up to date on industry best practices and new technologies in the business systems space.

Process Improvement:

  • Identify opportunities to streamline business processes.
  • Develop and implement process improvements in collaboration with stakeholders.
  • Document and communicate process changes to ensure smooth adoption.

Project Management:

  • Assist with the implementation of new business systems and upgrades to existing systems.
  • Coordinate user acceptance testing (UAT) for new systems and features.
  • Key Performance Indicators:
  • System uptime and availability
  • User satisfaction with systems and support
  • Efficiency gains from process improvements
  • Project completion rates and adherence to deadlines
  • Manage small-scale projects related to business systems.

  • Business System Analyst experience covering System Administration, User Support, System Optimisation, Process Improvement and Project Management
