Job Summary

The Bid Management Specialist is responsible for leading the end-to-end bid, tender, and proposal process, ensuring that submissions are compliant, competitive, commercially sound, and delivered on time. This role coordinates cross-functional contributors, manages bid governance, develops proposal strategies, and supports the organization in securing projects.

Key Responsibilities
  • Lead the full bid lifecycle from opportunity review actual bid submission.
  • Review tender documents, client requirements, evaluation criteria, and submission instructions to identify compliance requirements, risks, assumptions, and deliverables.
  • Participate in pre-bid orientation sessions.
  • Develop bid plans, schedules, responsibility matrices, and submission checklists to ensure timely and complete delivery.
  • Coordinate inputs from sales, commercial, technical, finance, legal, operations, procurement, and executive stakeholders.
  • Facilitate bid kick-off meetings, progress reviews, governance approvals, and final submission readiness checks.
  • Ensure proposals are accurate, persuasive, properly formatted, and compliant with all tender requirements.
  • Manage bid documentation, version control, approvals, clarifications, addenda, and submission records.
  • Support pricing, commercial review, risk assessment, and contract review processes in coordination with relevant teams.
  • Monitor bid performance, lessons learned, win/loss feedback, and continuous improvement opportunities.
Required Qualifications
  • Bachelor’s degree in Business Administration, Marketing, Engineering, Communications, Finance, Law, or a related field.
  • Minimum of 5 years of experience in bid management, proposal management, tender coordination, business development, procurement, or contract-related roles.
  • Proven experience managing complex bids, tenders, RFPs, RFQs, RFIs or proposals with multiple internal stakeholders.
  • Strong understanding of proposal development, bid governance, compliance review, document control, and submission management.
  • Above average written and verbal communication skills, with the ability to translate technical and commercial information into clear proposal content.
  • Strong project management skills, including planning, prioritization, coordination, deadline management, and issue resolution.
  • High attention to detail and ability to review documents for accuracy, consistency, compliance, and quality.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Teams, SharePoint, and other collaboration or document management tools.
Preferred Qualifications
  • Experience in infrastructure, construction, engineering, technology, public sector, consulting, or other bid-intensive industries.
  • Familiarity with government procurement rules, public-private partnership requirements, or regulated tender processes.
  • Certification or training in proposal management, project management, procurement, or contract management is an advantage.
  • Experience using customer relationship management, proposal automation, or bid tracking systems.
  • Ability to analyze tender risks, commercial terms, scope requirements, and contractual obligations.
