- Lead, mentor, and manage a team of administrative assistants and office staff. Delegate tasks, monitor performance, and ensure adherence to company policies and procedures.
- Oversee daily office operations, ensuring smooth functioning of administrative processes. Manage office supplies, equipment, and facility needs, ensuring a productive work environment.
- Act as the main point of contact for Mandarin-speaking clients, vendors, and partners. Ensure effective communication regarding contracts, orders, deliveries, and any administrative matters.
- Ensure proper organization, filing, and archiving of company records, such as contracts, invoices, purchase orders, and correspondence, while maintaining compliance with internal policies and external regulations.
- Manage calendars, schedule meetings, and coordinate travel arrangements for senior management and other key personnel. Ensure efficient time management and prompt follow-ups on important tasks and deadlines.
- Assist in preparing reports and presentations for management, providing insights on office operations, budgets, and performance metrics.
- Identify areas for improvement within the administrative department and implement efficient and cost-effective procedures to streamline operations.
- Provide high-level administrative support to senior leadership, assisting with various business operations and strategic initiatives. Prepare and review internal and external communication.
- Assist in the recruitment process by coordinating interviews, supporting the onboarding of new employees, and maintaining accurate employee records.
- Ensure all administrative practices comply with internal policies, local regulations, and industry standards.
- Oversee office inventory, manage office supplies, and ensure stock levels are maintained. Place orders and monitor budgetary constraints for office expenses.
- Address any administrative concerns or questions from employees, clients, or vendors, ensuring high levels of service and satisfaction.
- Language Skills: Must be excellent in oral, writing and reading skills in English and Mandarin Language.
- Experience: With or without experience in an administrative role, with at least 1 year in a supervisory position, preferably in a trading or international business environment.
- Skills & Knowledge:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong leadership and team management skills.
- Strong organizational and multitasking abilities with attention to detail.
- Excellent communication skills (both written and verbal) in Mandarin.
- Ability to manage multiple tasks in a fast-paced environment.
- Problem-solving and conflict resolution skills.
- Experience with office management and administrative software.
