Job Summary

The Sales Support role is responsible for assisting the sales team with renewal management, quotation preparation, order processing, and billing coordination. This position ensures timely renewals, accurate documentation, and smooth coordination with internal teams and customers to support revenue continuity and customer satisfaction.

Key Responsibilities

Renewal & Quotation Management
  • Ensure renewal quotations are prepared and sent to customers at least two (2) months prior to contract expiration.
  • Create and update GOP (Gross Operating Profit) computations.
  • Coordinate with the Order Team to request vendor pricing and cost information.
  • Prepare, review, and send accurate quotations to customers.
  • Follow up with customers to obtain signed quotations on time.
  • Maintain and regularly update the renewal tracking list.
Order Processing & Coordination
  • Prepare sales orders once signed quotations are received.
  • Request the Order Team to process Purchase Orders (PO) to vendors.
  • Monitor order confirmations and ensure proper documentation.
  • Update Sales Force with renewal and order details.
Billing & Documentation
  • Create Delivery Notes (DN) once renewal orders are confirmed.
  • Coordinate with billing/request teams to initiate customer billing.
  • Ensure all sales and billing documents are accurate and properly filed.
Internal & Customer Coordination
  • Act as a liaison between Sales, Order Team, Finance/Billing, and vendors.
  • Respond promptly to customer inquiries related to renewals, quotations, and orders.
  • Support the sales team in achieving renewal targets and operational efficiency.
Qualifications & Skills
  • Bachelor’s degree in Business Administration, Management, or related field (preferred).
  • Experience in sales support, sales operations, or order management is an advantage.
  • Strong attention to detail and excellent organizational skills.
  • Ability to manage multiple tasks and meet strict deadlines.
  • Good communication skills (written and verbal).
  • Proficient in MS Office applications.
  • Team-oriented with the ability to work independently when required.
