About the Role
We’re looking for a highly organised and proactive Growth & Operations Partner (Recruitment VA) to work directly with the founder of a growing recruitment business.
This role is focused on building the operational engine of the business—owning sourcing, systems, candidate management, and workflow execution, with the goal of enabling the founder to focus purely on candidates, clients, and placements.
You’ll be part of a lean, high-performance setup where ownership, initiative, and problem-solving are critical—and where your work will directly impact business growth.
This role is ideal for someone who enjoys building structure, creating systems, and working closely with a founder in a scaling environment.
Reporting Line
This role reports directly to the Founder.
What You’ll Be Doing:
Talent Sourcing & Market Mapping- Build and maintain a structured database of FMCG talent (primarily NAMs)
- Conduct market mapping across target industries and competitors
- Source candidates via LinkedIn, job boards, and research tools
- Segment candidates by skillset, experience, and market value
- Continuously grow and maintain a high-quality talent pipeline
- Draft personalised outreach messages for LinkedIn and email
- Track all outreach activity, responses, and engagement
- Manage candidate flow from initial contact through to interview stage
- Support candidate qualification and data capture (questionnaires, notes)
- Ensure all candidates are accurately tracked and progressed
- Schedule interviews and manage calendar logistics
- Send confirmations, reminders, and follow-ups
- Prepare candidate briefs and summaries for submissions
- Format CVs to a consistent, professional standard
- Manage follow-ups, feedback loops, and candidate communication
- Ensure a structured, high-quality candidate experience
- Build and maintain CRM systems (Job Tetris, HubSpot, or similar)
- Develop SOPs and workflows from scratch
- Translate the founder’s ideas into structured, repeatable processes
- Maintain clean, accurate, and usable data
- Use AI tools to improve efficiency and automate workflows
- Build and maintain a structured database of target clients and hiring managers
- Support candidate-led business development (reverse marketing)
- Assist with outreach campaigns and tracking engagement
- Help create visibility across market opportunities and pipelines
- Manage calendar and scheduling to protect revenue-generating time
- Support inbox management and communication flow
- Help structure the founder’s week and priorities
- Maintain momentum across tasks, pipelines, and workflows
- Act as a partner who drives accountability and execution
- Experience in recruitment sourcing, coordination, or operations roles
- High ownership and proactive — takes initiative without waiting for direction
- Comfortable working directly with a founder in a fast-moving, unstructured environment
- Able to build structure, systems, and processes from the ground up
- Highly organised with strong attention to detail
- Strong problem-solving ability and resourcefulness
- Confident communicator — able to suggest improvements and think independently
- Experience using ATS/CRM systems and openness to AI tools
- Outcome-focused, dependable, and able to manage multiple priorities effectively
- Full remote role
