Office Admin Assistant

We’re seeking a proactive, highly organised Office Admin Assistant to support the smooth day-to-day running of a busy office. This role covers office upkeep, records and filing, communications and events support, travel coordination, and assisting with design admin tasks and marketing scheduling.
Work setup: Office-based (Philippines), 8 hours/day.
Key Responsibilities- Manage general office administration, including supplies, equipment, and workspace upkeep
- Handle document filing, scanning, and email organization
- Assist with scheduling meetings, maintaining calendars, and internal communications
- Create a project file for lead prospects.
- Support preparation and follow-up of quotes, and invoices
- Coordinate with team members, and clients as needed
- Assist with event planning, travel arrangements, and team activities
- Perform ad hoc administrative tasks as required
- Prepare interior design templates and sample packs for clients
- Assist in managing and organizing 3D files (file updates and maintenance)
- Support scheduling and posting of social media content related to design work (e.g., website updates)
- Help maintain a library of design samples and references
- Prior experience in an administrative or office support role preferred
- Basic knowledge of interior design is an advantage but not required
- Strong organizational skills with the ability to manage multiple tasks
- Excellent English communication skills (written and verbal)
- Proficiency in Microsoft Office (Outlook, Teams)
- Familiarity with design applications (e.g., Canva or similar)
- Ability to work independently and take initiative
- Highly organized with strong attention to detail
- Confident communicator with professional email etiquette, especially with international clients
- Comfortable managing multiple priorities in a fast-paced environment
- Experience with document management and digital filing systems
- Familiarity with social media scheduling or posting (preferred)
- Background in an interiors, architecture, or design environment is an advantage
