Assistant Property Manager (Remote)

Remote | Full-Time | Property Management Operations Support

We are seeking a highly organized and proactive Assistant Property Manager to support day-to-day operations for a growing commercial property management portfolio. This role is ideal for someone with strong administrative, tenant communication, and coordination skills who thrives in a fast-paced environment and can confidently manage multiple responsibilities at once.

The Assistant Property Manager will support property operations, tenant communication, collections follow-ups, vendor coordination, reporting, and administrative processes while working closely with the property management team.

This is a fully remote position.

Key Responsibilities

Tenant Communication & Support
  • Serve as a point of contact for tenant inquiries and general communication
  • Draft and send tenant correspondence, notices, letters, and memos
  • Update tenant contact and account information
  • Assist with move-in and move-out coordination
  • Obtain and maintain updated Certificates of Insurance (COIs)
Collections & Accounts Support
  • Pull accounts receivable reports
  • Follow up with tenants regarding outstanding balances through calls and emails
  • Escalate unresolved delinquency issues to management
  • Assist with collections tracking and reporting
Vendor & Maintenance Coordination
  • Coordinate with vendors regarding work orders, maintenance requests, and project proposals
  • Draft vendor agreements and collect required documentation
  • Set up utility autopayments and maintain utility tracking records
  • Assist with project coordination and property-related administrative tasks
Reporting & Administrative Support
  • Prepare first drafts of monthly property reports
  • Assist with budget tracking and reporting documentation
  • Maintain organized digital files and records
  • Answer and direct incoming phone calls professionally
  • Draft and distribute emails, forms, and correspondence
  • Support office procedures and daily operations
System & Data Management
  • Enter lease information and maintain records in property management systems
  • Process invoices and assist with workflow management
  • Set up vendors and maintain compliance documentation
  • Generate letters and notices through management platforms
  • Maintain accurate and updated records across all systems
Additional Support
  • Participate in meetings and assist with follow-up action items
  • Support ongoing operational improvement initiatives
  • Assist with special projects and other administrative tasks as assigned

Qualifications

Required Skills & Experience
  • Strong administrative and organizational skills
  • Excellent verbal and written communication skills
  • Professional phone etiquette
  • Strong attention to detail and follow-through
  • Ability to manage multiple projects and priorities simultaneously
  • Comfortable working independently in a remote environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong problem-solving and coordination skills
Preferred Qualifications
  • Experience in property management, real estate, facilities coordination, or administrative support
  • Experience with tenant communication, maintenance coordination, HOA coordination, or vendor coordination
  • Familiarity with property management systems such as Yardi or similar platforms
  • Associate’s or Bachelor’s Degree preferred
  • Experience handling collections follow-ups or accounts receivable support is a plus
