Job Description
What this job involves:
We are seeking an experienced Facility Coordinator to oversee the soft facility services operations. This role requires a comprehensive understanding of building systems, vendor management, and service delivery to ensure optimal facility performance and occupant satisfaction across all operational areas.
What your day-to-day will look like:
- Soft Services Coordination.
- Supervise janitorial and cleaning services to maintain high cleanliness standards throughout the facility.
- Coordinate landscaping and grounds maintenance including snow removal and seasonal services.
- Manage security services, access control systems, and visitor management protocols.
- Oversee catering services, event setup, and conference room management.
- Coordinate pest control, waste management, and recycling programs
- Vendor and Contract Management Support.
- Develop and maintain relationships with service providers, contractors, and suppliers.
- Support the Operations Mangers in monitoring of service level agreements and ensure contractual compliance, involved in review of invoices while supporting in managing facility services budgets.
- Conduct regular vendor performance evaluations and coordinate improvement initiatives.
Required Qualifications:
- Bachelor's degree in engineering, Business Administration, or related field preferred; equivalent experience considered.
- Minimum 3-5 years of facility management experience with both hard and soft services.
- Strong knowledge of building systems including HVAC, electrical, plumbing, and life safety systems.
- Experience with computerized maintenance management systems (CMMS) and building automation systems.
- Technical and Professional Skills Proficiency in Microsoft Office Suite and facility management software platforms.
- Understanding of building codes, OSHA regulations, and environmental compliance requirements.
- Strong project management skills with ability to coordinate multiple vendors simultaneously.
- Excellent negotiation and contract management capabilities.
- Budget management experience with ability to analyze costs and identify savings opportunities.

- Excellent communication skills for interaction with tenants, vendors, and senior management.
- Detail-oriented approach to documentation and record keeping.
