What this job involves:

We are seeking an experienced Facility Coordinator to oversee the soft facility services operations. This role requires a comprehensive understanding of building systems, vendor management, and service delivery to ensure optimal facility performance and occupant satisfaction across all operational areas.

What your day-to-day will look like:

  • Soft Services Coordination.
  • Supervise janitorial and cleaning services to maintain high cleanliness standards throughout the facility.
  • Coordinate landscaping and grounds maintenance including snow removal and seasonal services.
  • Manage security services, access control systems, and visitor management protocols.
  • Oversee catering services, event setup, and conference room management.
  • Coordinate pest control, waste management, and recycling programs
  • Vendor and Contract Management Support.
  • Develop and maintain relationships with service providers, contractors, and suppliers.
  • Support the Operations Mangers in monitoring of service level agreements and ensure contractual compliance, involved in review of invoices while supporting in managing facility services budgets.
  • Conduct regular vendor performance evaluations and coordinate improvement initiatives.

Required Qualifications:

  • Bachelor's degree in engineering, Business Administration, or related field preferred; equivalent experience considered.
  • Minimum 3-5 years of facility management experience with both hard and soft services.
  • Strong knowledge of building systems including HVAC, electrical, plumbing, and life safety systems.
  • Experience with computerized maintenance management systems (CMMS) and building automation systems.
  • Technical and Professional Skills Proficiency in Microsoft Office Suite and facility management software platforms.
  • Understanding of building codes, OSHA regulations, and environmental compliance requirements.
  • Strong project management skills with ability to coordinate multiple vendors simultaneously.
  • Excellent negotiation and contract management capabilities.
  • Budget management experience with ability to analyze costs and identify savings opportunities.

  • Strong problem-solving skills with ability to prioritize urgent issues effectively.
  • Excellent communication skills for interaction with tenants, vendors, and senior management.
  • Detail-oriented approach to documentation and record keeping.
  • Ability to work independently and make decisions under pressure.
  • Professional demeanor with strong customer service orientation.
