About Company and Role

The company is a fast-growing U.S.-based real estate operations company hiring 5 full-time Real Estate Transaction Coordinators (TCs) to work onsite from its Quezon City coworking office.

This is not a work-from-home role. The company is building a highly structured, technology-driven operations team with significant long-term growth opportunities. TCs will manage U.S. real estate transactions from contract to close across multiple states including California, Texas, Colorado, and Florida, while utilizing AI-powered transaction coordination systems and standardized operational workflows.

The ideal candidate is detail-oriented, process-driven, highly accountable, and comfortable working in a performance-measured environment with strict accuracy and SLA standards.

Top performers will have clear advancement opportunities into Senior TC, Team Lead, and Operations Management roles as the Manila team rapidly scales from 5 to 15+ employees.

Key Responsibilities
  • Manage U.S. real estate transactions from executed contract through closing.
  • Handle:
  • Buyer-side files
  • Seller-side files
  • Listing transaction files
  • Set up and maintain transaction records within the company’s AI-powered TC platform.
  • Monitor and track:
  • Inspection deadlines
  • Financing contingencies
  • Appraisals
  • Escrow timelines
  • Earnest money
  • Closing deadlines
  • Review contracts and compliance documentation for:
  • Missing initials
  • Signatures
  • Required forms
  • State-specific compliance requirements
  • Coordinate communication between:
  • Real estate agents
  • Buyers and sellers
  • Title companies
  • Lenders
  • Vendors
  • Brokerages
  • Submit compliance documentation to brokerage compliance systems.
  • Follow up persistently on missing documentation and outstanding tasks.
  • Manage task boards, inboxes, reminders, and escalation workflows daily.
  • Process rental compliance files and related documentation as assigned.
  • Maintain a minimum 97% accuracy standard across all transactions and compliance submissions.
Must-Have Qualifications
  • Minimum 1 year of experience in:
  • Real estate transaction coordination
  • U.S. real estate virtual assistant support
  • Business operations or administrative support environment
  • Strong understanding of the U.S. real estate transaction lifecycle or ability to learn quickly.
  • Excellent written English communication skills.

  • Willingness and ability to work U.S. hours/night shift in Manila.
  • Willingness to work onsite at the Metro Manila coworking office five days per week.
  • Reliable internet connection:
  • Minimum 25 Mbps download
  • Minimum 10 Mbps upload
  • Own laptop/desktop with:
  • Minimum 8GB RAM
  • SSD required
  • Strong attention to detail and ability to maintain 97% accuracy standards.
  • Comfortable working within structured SOPs, workflows, and KPI-driven systems.
  • Strong organizational and multitasking skills.
