About the Role
Better Skin is looking for a highly organized, proactive, and resourceful Executive Assistant to help support the daily operations and growth of our clinic.
This is an ideal role for someone who enjoys variety, thrives in a fast-paced environment, and is excited to wear multiple hats. As a growing company, no two days will be the same—you may be coordinating schedules, assisting with clinic operations, managing inventory, communicating with suppliers, helping with marketing initiatives, handling administrative work, and supporting special projects as needed.

Key Responsibilities
Executive & Administrative Support- Manage calendars, appointments, meetings, and reminders
- Handle email correspondence and phone inquiries
- Prepare reports, presentations, and business documents
- Organize files, records, and company documentation
- Coordinate travel, deliveries, and logistics when needed
- Assist with daily clinic operations and administrative workflows
- Monitor supplies and inventory levels
- Coordinate with vendors and service providers
- Help implement systems and process improvements
- Ensure operational tasks are completed efficiently and on schedule
- Source products and obtain supplier quotations
- Coordinate purchasing and replenishment of clinic supplies
- Track orders, deliveries, and inventory records
- Maintain relationships with medical suppliers and distributors
- Compare pricing and negotiate favorable terms when appropriate
- Assist with marketing and promotional activities
- Conduct research for new products, services, and opportunities
- Support hiring, onboarding, and HR-related administrative tasks
- Help execute new initiatives and strategic projects
- Take on additional responsibilities as the business evolves
- Bachelor's degree preferred
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Proficient in Google Workspace and Microsoft Office
- Comfortable learning new software and systems
- Strong attention to detail and ability to follow through
- Resourceful, proactive, and solution-oriented
- Able to work independently with minimal supervision
- Experience in healthcare, medical supplies, administration, operations, or startups is a plus
