Legal Administrative Assistant / Paralegal – Strata Law

Key Responsibilities
By-Law Preparation and Legal Document Support- Assist lawyers with the preparation and formatting of by-law drafts, amendments and repeals for owners corporations under the Strata Schemes Management Act 2015 (NSW)
- Prepare motions and explanatory notes for inclusion in general meeting agendas, ensuring compliance with the requirements of the Act (including the 300-word limit for explanatory notes)
- Assist with the preparation of by-law registration documentation for lodgement with NSW Land Registry Services (NSW LRS)
- Assist with the preparation of common property rights by-laws, including collating supporting documentation such as scope of works, plans and structural engineer certifications where required
- Format and proofread by-law documents prior to lawyer review, checking for consistency, accuracy and correct cross-referencing
- Prepare correspondence, memoranda and file notes as directed by the lawyers
- Manage electronic filing systems, ensuring documents are correctly saved, named and organised
- Assist with the preparation of applications, submissions and supporting documentation for the NSW Civil and Administrative Tribunal (NCAT)
- Draft routine correspondence to owners corporations, strata managers and lot owners under lawyer supervision
- Maintain and update precedent documents and templates as the practice's document library grows
- Assist with diary and calendar management for the practice
- Coordinate meeting scheduling, including NCAT hearing dates and client conferences
- Manage incoming and outgoing correspondence, including mail and email
- Act as a receptionist, answering phone calls and transferring them to the relevant person
- Maintain client contact details and matter records in the practice management system
- Assist with invoicing, time recording and other administrative tasks as required
- Conduct basic research tasks as directed, including searching the NSW Legislation website, NSW LRS records and NCAT decisions
- Ensure all documents comply with the formatting and lodgement requirements of NSW LRS and NCAT
- Maintain awareness of key legislative timeframes relevant to strata matters (e.g. the six-month registration period for by-law changes under the Strata Schemes Management Act 2015)
- Flag any inconsistencies, errors or potential issues identified during document preparation to the supervising lawyer
- Maintain strict confidentiality in all client and practice matters
Requirements and Skills
Essential- Minimum 2 years' experience in an administrative or paralegal role, preferably in a professional services or office environment
- High attention to detail and accuracy in written documentation
- Strong written and verbal English communication skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn new software systems
- Ability to manage multiple tasks and meet deadlines in a structured environment
- Professional and reliable approach to work, with the ability to work independently and as part of a team
- Willingness to learn and develop knowledge of NSW strata law, legal procedures and legal terminology
- Strong organisational skills with an ability to maintain orderly filing and document management systems
- Previous experience as a legal secretary, legal assistant or paralegal
- Familiarity with legal document formatting and legal correspondence conventions
- Experience with practice management or case management software
- Basic understanding of property law or strata management concepts
- Experience working with Australian businesses or in an offshore support capacity
- Monthly salary of PHP 50,000 (inclusive of PHP 3,000 de minimis benefit)
