About the Role
Lucky RV Inc. is looking for a highly organized, proactive, and trusted Chief Executive Assistant to provide comprehensive executive, administrative, and operational support to the Managing Director.
This role serves as the Managing Director's right hand, ensuring that executive priorities are executed efficiently through effective coordination across departments, timely follow-up of key initiatives, and seamless communication with internal and external stakeholders.The Chief Executive Assistant plays a critical role in supporting strategic decision-making, monitoring company projects, and ensuring operational alignment across the organization.
Key Responsibilities
Executive Support- Manage the Managing Director's calendar, appointments, meetings, travel schedules, and business priorities.
- Screen, prioritize, and manage emails, phone calls, correspondence, and executive communications.
- Prepare reports, presentations, business documents, and meeting materials required by the Managing Director.
- Handle confidential financial, operational, legal, and personnel information with the highest level of discretion.
- Serve as the primary liaison between the Managing Director and internal departments, stores, suppliers, franchise partners, mall representatives, consultants, contractors, and other external stakeholders.
- Monitor executive directives and follow up with departments to ensure timely completion of assigned action items.
- Coordinate meetings, prepare agendas, record minutes, and monitor implementation of agreed action plans.
- Prepare, consolidate, and maintain operational, financial, sales, construction, leasing, and executive management reports.
- Track project timelines, deadlines, new store openings, construction milestones, and company initiatives.
- Conduct research, gather relevant information, and prepare recommendations to support executive decision-making.
- Assist the Managing Director in monitoring key performance indicators (KPIs) across departments.
- Maintain organized and secure electronic and physical filing systems for contracts, permits, leases, supplier agreements, legal documents, and confidential company records.
- Ensure all executive documents are complete, accurate, updated, and readily accessible.
- Review business correspondence and official documents for accuracy, consistency, and completeness prior to submission.
- Coordinate activities among Operations, Finance, Human Resources, Purchasing, Marketing, Construction, and other departments to ensure alignment with executive directives.
- Monitor company initiatives and ensure effective communication across teams.
- Support store openings, executive meetings, supplier engagements, and special company projects.
- Perform executive administrative support and operational coordination as assigned by the Managing Director.
- Perform other executive, administrative, operational, and strategic assignments that may be delegated by the Managing Director in support of the Company's objectives.
- Bachelor's degree in Business Administration, Management, Office Administration, Communications, or a related field.
- Minimum of 3 years of experience as an Executive Assistant, Executive Officer, Chief Executive Assistant, Office Manager, or similar executive support role.
- Exceptional organizational, planning, and time management skills.
- Strong project coordination and multitasking abilities.
- Excellent verbal and written communication skills.
- High level of professionalism, integrity, discretion, and confidentiality.
- Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.
- Strong analytical, problem-solving, and decision-making skills.
- Ability to work independently with minimal supervision in a fast-paced environment.
- Willing to attend meetings, store visits, supplier meetings, mall meetings, and other business-related activities as required.

Compensation & Benefits
Monthly Salary: ₱40,000

The nature of the role may occasionally require work beyond regular office hours, including weekends and holidays, depending on operational and business requirements.
Work Location
Primarily based at the Lucky RV Inc. Head Office in Mandaluyong City.
The role also requires attendance at store visits, mall meetings, pre-construction site visits, supplier meetings, and other business-related engagements as necessary.
