POSITION OVERVIEW

The Accounting and Finance Officer is responsible for managing the Company's accounting and finance operations, ensuring the accuracy, integrity, and timeliness of all financial transactions, records, and reports. The role oversees the full accounting cycle, payroll processing, financial reporting, budgeting support, cash flow monitoring, statutory compliance, and accounts management.

Reporting directly to the President, the Accounting and Finance Officer provides reliable financial information and analysis to support strategic decision-making, business planning, and operational efficiency. The position ensures compliance with applicable accounting standards, government regulations, company policies, and internal controls while maintaining the highest standards of accuracy, confidentiality, and professionalism.

DUTIES AND RESPONSIBILITIES

General Accounting and Financial Management
  • Manage the Company's complete accounting cycle, ensuring all financial transactions are accurately recorded and properly supported.
  • Maintain the General Ledger and ensure all accounts are updated and reconciled regularly.
  • Prepare monthly, quarterly, and annual financial statements and management reports.
  • Perform month-end and year-end closing activities.
  • Monitor cash flow and prepare cash position reports for management.
  • Prepare financial analyses and provide recommendations to support business decisions.
  • Maintain complete, organized, and confidential accounting records and supporting documentation.
  • Ensure compliance with accounting standards, company policies, and internal controls.
  • Coordinate with external accountants, auditors, banks, and government agencies as required.
Financial Planning, Budgeting, and Reporting
  • Prepare annual budgets in coordination with department heads and management.
  • Develop monthly financial projections and cash flow forecasts.
  • Monitor actual financial performance against approved budgets.
  • Conduct variance analysis and recommend corrective actions when necessary.
  • Prepare financial reports and dashboards for the President.
  • Present financial information to management in a clear and timely manner.
  • Support strategic planning by providing financial insights and recommendations.
Payroll Administration
  • Prepare and process payroll accurately and on schedule.
  • Verify attendance, leave records, overtime, and payroll adjustments.
  • Compute salaries, government deductions, taxes, and other payroll-related transactions.
  • Ensure compliance with labor laws and statutory payroll requirements.
  • Maintain payroll records with strict confidentiality.
  • Coordinate with the Human Resources Department regarding employee movements affecting payroll.
Accounts Payable
  • Review and verify supplier invoices and supporting documents.
  • Ensure proper approval of all disbursements before payment.
  • Prepare payment schedules based on due dates and cash flow.
  • Process payments to suppliers, contractors, consultants, and employees.
  • Monitor outstanding payables and ensure accounts are settled within agreed payment terms.
  • Reconcile vendor statements and resolve discrepancies promptly.
  • Maintain complete and organized accounts payable records and supporting documents.
Accounts Receivable
  • Verify the accuracy and completeness of released customer invoices.
  • Perform weekly reconciliation of sales and accounts receivable records.
  • Monitor collections and aging of receivables.
  • Coordinate with the Wellness Coordinators regarding outstanding balances.
  • Record and reconcile all collections accurately.
  • Prepare accounts receivable aging reports.
  • Recommend appropriate collection actions for overdue accounts.
Treasury and Cash Management
  • Monitor daily cash balances and liquidity requirements.
  • Perform regular bank reconciliations and investigate any discrepancies.
  • Manage fund transfers and banking transactions.
  • Maintain accurate records of cash receipts and disbursements.
  • Monitor company expenditures and recommend cost-saving opportunities.
Taxation and Regulatory Compliance
  • Ensure timely preparation and submission of tax reports and statutory filings.
  • Coordinate with external accountants regarding BIR, SSS, PhilHealth, Pag-IBIG, and other government compliance requirements.
  • Ensure proper documentation and filing of tax-related records.
  • Monitor statutory deadlines to avoid penalties and compliance issues.
  • Maintain complete records for government audits and inspections.
Internal Controls and Audit
  • Maintain effective accounting policies and internal control procedures.
  • Monitor compliance with financial policies and company procedures.
  • Perform regular reconciliations and internal financial reviews.
  • Prepare schedules and supporting documents for internal and external audits.
  • Implement corrective actions for audit findings.
  • Recommend improvements to strengthen financial controls and accounting processes.
Systems and Records Management
  • Ensure proper filing, organization, and safekeeping of accounting records.
  • Maintain updated master records for customers, suppliers, and financial accounts.
  • Recommend and implement process improvements to enhance efficiency and reporting accuracy.
Management Support
  • Serve as the primary finance resource for the President.
  • Prepare financial analyses, reports, and presentations as requested by Management.
  • Coordinate with department heads regarding budgets, expenditures, and financial planning.
  • Provide financial insights and recommendations to support business decisions.
  • Perform other accounting, finance, and administrative duties that may be assigned by Management.
Requirements
  • Bachelor's degree in Accountancy, Accounting, Finance, or a related field.
  • At least 2–3 years of relevant experience in accounting or finance.
  • CPA license is an advantage but not required.
  • Knowledge of payroll, financial reporting, taxation, and government compliance.
  • Proficient in Microsoft Excel and accounting software.
  • Detail-oriented with strong analytical, organizational, and communication skills.
  • High level of integrity and ability to maintain confidentiality.
