Executive Admin Assistant

We are looking for an experienced Executive Administrative Assistant to support one of our C-suite clients. The ideal candidate possesses strong organizational abilities, keen attention to detail, and the capacity to thrive in a dynamic, fast-paced setting.
This role involves overseeing the daily administrative functions of the C-Suite and ensuring all tasks are executed promptly and effectively. The EAA must have an experience working with a US-based client and accustomed to US culture.
Work hours: 9pm - 6am Ph time ( 8am -5pm CST)
Remote role with occasional visits to Makati office when the client is in PH.
As an EAA, you are expected to:
- Deliver comprehensive administrative assistance to C-suite executives, including managing calendars, coordinating travel, and organizing meeting logistics.
- Handle and prioritize incoming calls, emails, and correspondence on behalf of the C-suite, ensuring timely responses or appropriate delegation.
- Draft, revise, and format various documents, reports, and presentations, conducting data research and compilation as needed.
- Prepare and manage expense reports and reimbursement submissions for C-suite executives, ensuring accuracy and adherence to company policies.
- Organize and coordinate meetings and events, securing venues, arranging catering, and ensuring necessary equipment is in place.
- Perform research and gather relevant information to support C-suite decision-making and strategic planning.
- Support special projects and strategic initiatives, collaborating with cross-functional teams to ensure timely completion.
- Maintain the confidentiality of sensitive information and exercise sound judgment and discretion in all communications and tasks.
QUALIFICATIONS:
- Bachelor's degree or equivalent experience.
- 5+ years of experience providing high-level administrative support to senior executives.
- Excellent organizational and time-management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Strong attention to detail, with the ability to maintain accuracy while working under tight deadlines.
- Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.
- Proficient in Microsoft Office
- Ability to maintain confidentiality and exercise good judgment in handling sensitive information.
- Strong problem-solving and decision-making skills.
