Accounting Associate
Job Summary
The Accounting Associate – Fixed Asset & General Ledger supports the company's general ledger, financial reporting, and fixed asset accounting processes. The role is responsible for maintaining accurate financial records, preparing reconciliations and reports, monitoring fixed assets, recording depreciation and other accounting transactions, and providing accounting support to the Head Office and branches.
Key Responsibilities
Fixed Asset Management- Process fixed asset requests from branches and the Head Office.
- Follow up on the approval of requested fixed assets.
- Create Purchase Orders (POs) for new fixed asset purchases not available in inventory.
- Process requests for fixed assets issued from existing inventory.
- Record fixed assets accurately in the EBT system.
- Tag fixed assets and update the monitoring file before release.
- Maintain and update the fixed asset lapsing schedule and depreciation records.
- Record monthly depreciation expenses and maintain accumulated depreciation records.
- Conduct regular physical fixed asset counts and monitor asset movements and accountability.
- Follow up on the pull-out of fixed assets from branches and the Head Office.
- Record asset disposals in the EBT system and update the fixed asset monitoring file accordingly.
- Update the lapsing schedule and depreciation records following asset disposal.
- Sign clearance forms related to the turnover of fixed assets.
- Issue Incident Reports (IR) for damaged fixed assets, when necessary, and facilitate the issuance of Asset Transfer Documents (ATD), as applicable.
- Update and reconcile the Balance Sheet Account Reconciliation (BSAR) related to fixed assets.
- Prepare daily and monthly sales reports and reconciliations.
- Generate sales data for management reviews, WIG meetings, and performance analysis.
- Monitor service income, including in-warranty and out-of-warranty transactions, billing, recording, and accruals.
- Ensure sales and revenue transactions are accurately recorded and properly supported by documentation.
- Prepare monthly bank reconciliations and monitor outstanding reconciling items.
- Record bank transactions, interest income, and foreign currency revaluation, as applicable.
- Maintain accurate cash-in-bank schedules and balances.
- Investigate and escalate discrepancies identified during bank and account reconciliations.
- Compute and record sales and audit incentives.
- Prepare bank upload files and incentive expense entries.
- Ensure incentive and expense transactions are accurately recorded and properly documented.
- Prepare branch income statements, ROAS reports, and assigned account reconciliations.
- Review income statement accounts and assist in identifying and resolving discrepancies.
- Support month-end and year-end closing activities.
- Assist in the preparation of financial reports and other accounting schedules.
- Ensure general ledger accounts and supporting schedules are accurate and up to date.
- Verify payments, including bank transfers, check payments, and other payment transactions.
- Assist in processing sales adjustments and cancellations due to valid reasons, such as wrong release and DOA (Dead on Arrival).
- Provide accounting support to branches regarding financial documentation, reporting, and reconciliation requirements.
- Coordinate with relevant departments to resolve accounting and transaction-related concerns.
- Ensure accurate and timely completion of accounting reports, reconciliations, and financial schedules.
- Escalate discrepancies, unusual transactions, and urgent financial concerns promptly.
- Ensure compliance with company accounting policies, internal controls, and reporting deadlines.
- Maintain complete and organized accounting records and supporting documents.
- Perform other accounting and finance-related duties as assigned.
Qualifications
Education- Bachelor's degree in Accountancy, Accounting Technology, or a related accounting course.
- CPA license is an advantage.
- 1–3 years of relevant experience in general ledger, financial reporting, fixed asset accounting, or related accounting processes.
- Experience in fixed asset management and account reconciliation is an advantage.
- Good understanding of Philippine Financial Reporting Standards (PFRS).
- Knowledge of general ledger accounting, bank reconciliation, financial reporting, fixed asset accounting, depreciation, and account reconciliation.
- Proficient in Microsoft Excel and other Microsoft Office applications.
- Strong analytical and reconciliation skills.
- Good written and verbal communication skills.
- Highly detail-oriented and organized.
- Accurate and systematic in handling financial records and company assets.
- Demonstrates a strong sense of urgency and ability to meet deadlines.
- Able to identify and resolve discrepancies effectively.
- Honest, trustworthy, and responsible in handling financial information and company assets.
- Works collaboratively with branches, departments, and other stakeholders.
