THE ROLE
Invoicing- Prepare and schedule invoices for clients based on agreed terms and services rendered.
- Communicate with clients regarding invoicing queries, adjustments, and amendments.
- Ensure all invoicing is accurate, timely, and aligned with company policies.
- Manage invoice amendments and adjustments when required, ensuring clarity in correspondences with
clients
Reports- Generate weekly invoicing and financial reports to track revenue and expenses. Prepare and maintain the company’s Accounts Receivable and Payable.
- Prepare fortnight payroll forecast and review expenses and adjustments to invoices and documentation.
- Organise all expenses incurred by the business and send to the company accountant.
- Create payroll forecast reports and prepare payroll notes prior pay cut off.
- Extract and review Everhour timesheets (employee hours) reports for accuracy and do adjustment based on the additional payroll notes from TPI/ Client.
- Perform data entry into payroll summary report and do computation of their fortnight and monthly payroll accordingly. Send Payroll stub to the team members once done
- Maintain TPI Ops email / TPI admin email address and file through emails coming from clients and TPI team
- Draft message/ emails and responds to Team’s dispute related to payroll concerns
- Send Quarterly CSAT Surveys to clients and work closely with General Manager to review responses and scorecard of the team
- Attend to team’s request documents and concerns as needed.
- Organize the Director’s email inbox and file away according to the right categories.
- Attend concerns and advise the client as needed.
- Manage and organise the CEO’s emails by drafting responses for the CEO and/or replying to emails on the CEO’s behalf.
- Managing the CEO’s calendar by identifying and agreeing on priorities and slotting them in the calendar and placeholder.
- Review work processes and assist in drafting SOPs and process mapping.
- Prepare log in access and conduct onboarding for new team members, as needed 1xto 5x a month.
- Support the General Manager in reviewing time off allocations, performance review schedules of new team members.
- Assist with administrative, events and planning tasks as required( i.e Summit or Team Building Activities)
- Assist with organizing client and internal files for TPI and/or the Client(s) as directed
- Assist with sending comms to clients/team members as directed by TPI
- Any other relevant administrative/operational task

Qualifications- Graduate of any bachelor's degree course
- Should have 1-2 yrs experience in invoicing, payroll, and executive support
- Go getter, preferably has knack in doing admin works and good communication skills
- Dynamic and can work under pressure and multiple deliverables
- Good understanding about Payroll and Invoice processing
- Should have personal and working laptop/ Desktop, and one (1) back up
- Has Noise-cancelling headset (for interview and meetings)
- Back up internet connection (at least 30-50 mbps)
- Pay: 30,000 - 45,000 PHP per month (based on the skillset & experience) paid fortnightly
