Position Overview:

The Executive Business Operations Administrator is responsible for maintaining executive level operational discipline across the group through structured administrative support, governance coordination, reporting control, action tracking, and documentation integrity.

The role supports a centralized Corporate Services model by ensuring executive priorities are translated into clear actions, timeframes, and accountable owners. The position is a critical control layer that protects leadership time, strengthens follow through, and ensures the CEO, COO, and ELT have decision ready packs supported by accurate and complete inputs.

Key Responsibilities:

  1. Executive Governance and Cadence Control
  • Maintain ELT governance calendar, meeting cadence, and planning cycles
  • Coordinate agendas, action registers, and decision logs in a consistent format
  • Track all executive actions through to completion and confirm closure evidence is captured
  • Maintain structured documentation of decisions, commitments, and accountability across forums
  • Ensure executive governance artefacts are current, accessible, and version controlled
  1. Executive Pack Preparation and Quality Assurance
  • Coordinate inputs for ELT packs across Corporate Services and States
  • Validate completeness, accuracy, and consistency of inputs prior to circulation
  • Identify reporting gaps, conflicting data, and missing dependencies early
  • Escalate late, incomplete, or low-quality inputs to the Group CI, Compliance and Risk Manager with clear summaries and recommended actions
  • Maintain templates and pack structure to ensure consistent executive consumption
  1. Strategic Initiative Tracking and Delivery Visibility
  • Maintain delivery trackers for group wide initiatives and priority programs
  • Monitor milestones, risks, resourcing constraints, and cross functional dependencies
  • Drive weekly follow ups on slippage and support owners to reset actions and timeframes
  • Provide concise delivery updates suitable for CEO and ELT visibility
  • Escalate recurring delivery risk themes through the Group CI, Compliance and Risk Manager
  1. Operational Performance Reporting
  • Coordinate recurring operational reporting and ensure clear performance narrative
  • Consolidate state and Corporate Services inputs into a consistent reporting format
  • Highlight off track indicators, recurring blockers, and underperformance trends
  • Support maintenance of executive dashboards where required
  • Ensure reporting schedules are disciplined and aligned to governance cadence
  1. Process Discipline and Documentation Governance
  • Maintain central repository for executive artefacts, governance templates, and registers
  • Ensure naming conventions, version control, and access discipline are applied
  • Identify opportunities to tighten governance workflows and reduce executive friction
  • Document improvements and embed repeatable ways of working
  1. Executive, Corporate Services and Operational Support
  • Support executive recruitment processes by coordinating and preparing high-quality documentation, maintaining customer engagement and managing CRM compliance
  • Support ELT leave management by reviewing requests, applying the Leave Policy, and facilitating timely approvals
  • Provide ad hoc project coordination and targeted research support to the ELT and Corporate Services leaders to enable timely delivery of priorities
  • Coordinate travel bookings for all staff in line with approved travel policies
  • Provide operational support to the broader Corporate Services function, as required

Requirements

Essential:

  • Strong experience supporting senior leaders in an operational or governance capacity
  • High attention to detail and strong documentation discipline
  • Ability to manage deadlines across multiple stakeholders
  • Confident communicator able to follow up and enforce standards constructively

Desirable:

  • Experience in Corporate Services, governance, risk, or multi entity environments
  • Exposure to executive reporting and performance frameworks
