Operations Support VA

Job Summary: We are looking for a dependable and organized Operations Support VA to support the daily operations of a construction business. This role involves managing scheduling, organizing client communications, following up with leads, assisting with estimates, and maintaining accurate records across project management and accounting platforms.
The ideal candidate is a proactive and professional communicator with strong English skills and a confident phone presence.
Key Responsibilities:
- Manage and coordinate all scheduling, ensuring project timelines and appointments remain consistently up to date
- Organize and maintain client information, leads, and project records within Buildertrend
- Conduct follow-up calls and communications with both prospective and active clients
- Assist with preparing and organizing project estimates
- Handle all pre-client and client communications via phone and email in a professional and timely manner
- Track and manage all incoming leads, ensuring prompt follow-up and accurate data entry at every stage
- Perform bookkeeping support tasks in QuickBooks, including invoice tracking and expense organization
- Coordinate with the internal team and subcontractors on scheduling and project updates
- Support general administrative tasks that keep daily operations running smoothly and efficiently
Mandatory Skills:
- Proficiency in Buildertrend or comparable project management software
- Working knowledge of QuickBooks for basic bookkeeping and financial record-keeping
- Excellent spoken and written English with clear, neutral pronunciation
- Experience handling client-facing phone calls, including proactive follow-ups and lead engagement
- Strong organizational skills with the ability to manage multiple concurrent projects and deadlines
- Reliable, detail-oriented, and capable of working independently with minimal supervision
- Strong interpersonal communication skills with the ability to interact professionally with clients at all stages
Preferred Skills:
- Prior experience in an administrative or operations support role within a service-based business
- Background in sales support or structured lead follow-up
- Experience with CRM tools or lead management systems
- Familiarity with coordinating between internal teams and external subcontractors
- Ability to assist with estimate preparation and basic project documentation
- Comfortable working with U.S.-based clients in a customer-facing capacity
