Position Overview

We are seeking a highly organized and proactive Sales and Marketing Assistant to support our sales and business development activities for both Japanese and local clients in the Philippines. This role plays a vital part in ensuring the smooth execution of sales operations, customer engagement, marketing initiatives, and internal coordination.

The ideal candidate is detail-oriented, possesses excellent communication skills, and is eager to learn about business systems, ERP solutions, and client relationship management. The Sales and Marketing Assistant will work closely with sales representatives, consultants, engineers, management, and administrative teams to provide efficient support throughout the sales cycle.

Key Responsibilities

Sales Support
  • Prepare and maintain sales proposals, quotations, contracts, presentations, and other sales-related documents.
  • Assist in organizing customer meetings, product demonstrations, and sales presentations.
  • Coordinate schedules and appointments between clients, sales representatives, consultants, engineers, and management.
  • Draft professional emails, meeting invitations, and customer follow-up communications.
  • Maintain and update customer records, sales pipelines, opportunity trackers, and CRM databases.
  • Monitor pending sales activities and proactively follow up with internal teams to ensure timely completion of requirements.
  • Attend customer meetings when necessary and prepare accurate meeting minutes and action-item summaries.
  • Support the sales team in ensuring excellent customer service and responsiveness.
Marketing Support
  • Assist in planning and executing marketing campaigns, events, webinars, and promotional activities.
  • Help create and update marketing materials such as brochures, presentations, newsletters, and social media content.
  • Coordinate with internal teams and external partners for marketing initiatives and corporate events.
  • Conduct basic market research, competitor analysis, and lead generation activities.
  • Support the maintenance of company websites, social media platforms, and digital marketing content.
  • Track and report marketing activities, campaign results, and customer engagement metrics.
Administrative and Coordination Functions
  • Organize and maintain sales and marketing files, records, and documentation.
  • Prepare reports, summaries, and management presentations as required.
  • Coordinate with various departments to ensure smooth information flow and project execution.
  • Perform other administrative and sales support duties assigned by management.

Qualifications

Education:

  • Bachelor's Degree in Business Administration, Marketing, Management, Communications, Information Technology, or any related field.
  • Fresh graduates with strong academic performance are encouraged to apply.

Skills and Competencies:

  • Experience in administrative, sales support, marketing, or customer-facing roles is an advantage but not required.
  • Excellent written and verbal communication skills in English.
  • Strong organizational and time-management abilities.
  • High attention to detail and accuracy in documentation.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Proficient in Microsoft Office applications (Excel, Word, PowerPoint, Outlook).
  • Familiarity with CRM systems, digital marketing tools, or ERP systems is an advantage but not required.
  • Strong interpersonal skills and the ability to work effectively with cross-functional teams.
  • Customer-service oriented with a professional attitude.
