We're now seeking a highly organised, proactive Operations Manager to help scale our systems, streamline workflows, and manage the day-to-day running of our business across manufacturing, logistics, subscriptions, and customer experience.- Key Responsibilities
- Oversee and support team members across fulfilment, marketing, support, and admin.
- Build systems and processes that enable efficiency and accountability.
- Answer queries & track performance and help the team stay on top of deadlines and deliverables.
- Manage production schedules, inventory levels, and forecasting across China, UK, and EU warehouses.
- Coordinate with manufacturers and freight partners to ensure timely deliveries and product availability.
- Oversee daily DDP fulfilment and ensure smooth last-mile delivery.
- Optimise shipping costs and delivery times across international markets (USA, Canada, Europe, SEA).
- Ensure timely production and dispatch of monthly subscription boxes.
- Collaborate with creative team to manage timelines and coordinate product inserts.
- Build SOPs and improve operational workflows using tools like Notion, Airtable, Shopify, or custom CRMs.
- Reduce operational friction and lead automation initiatives where possible.
- Oversee the customer service team, ensuring high satisfaction and fast resolution times.
- Identify operational causes of common complaints and resolve them upstream.
- Support invoice reconciliation, product costing, and vendor payments.
- Align operations with campaign and product launch timelines.
- Coordinate influencer product shipments and PR kits.
- Support monthly subscription box promotions and giveaways.
- Ensure systems (Shopify, email, fulfilment) run smoothly during campaigns.
- 3+ years experience in operations, supply chain, or e-commerce management.
- Strong project management and communication skills.
- Fluent in tools like Shopify, Google Workspace, Slack, Notion, and Excel.
- Familiarity with working across multiple time zones and cultures.
- Bonus: Experience with subscription-based or physical product brands.
- Bonus: Knowledge of VAT, international shipping, and logistics.
