Virtual Assistant - Order Entry Specialist

Job description:
This person will be preparing legal documents to be served by Process Servers. He will also process witness fees to be sent out with the Subpoena, maintain timely contact with the Client for updates on the status of the serves and pending proofs of service or no service, as well as provide status updates regarding completed or incomplete serve.All communication is documented electronically in an email, Excel or client proprietary system. The candidate would take pride in strong customer service and communication skills, and running multiple desks or tasks at a time.
- 1. Monitor the Client's system for incoming Orders and maintain the Order Entry spreadsheet to ensure that all serves are done by or on the due date.
- 2. Confirm Orders by calling each facility and verifying information. Input and verify information into the Client's system.
- 3. Maintain an organized bin rotation of all Orders in your control, as defined by office procedure.
- 4. Provide clients with updates regarding the status of serves.
- 5. Issue checks for witness fees and other advance fees.
- 6. Email, fax or mail hard copy of Subpoenas to facilities.
- 7. Update Client's system documenting all conversations and correspondence with facilities
- 8. Perform internet research as needed to locate a physical address and/or registered agent for business entities you are required to serve.
- 9. Daily productivity report – Ensures that standard daily quotas are met to maintain the SLAs.
Qualifications:
- College Graduate, preferably of a medical allied, legal or administrative course.
- Prior work experience in an office setting preferably in the legal, process serving or insurance claims is a plus.
- Prior experience in a call center as an administrative support in a legal office is a plus.
- Computer Proficient. Able to navigate Microsoft Outlook, Word and Excel.
- Highly adaptive to learning new programs, specific Client proprietary systems.
- Analytical with problem-solving abilities and decision-making abilities.
- Ability to effectively prioritize and execute tasks in a high-pressure environment.
- Excellent telephone etiquette, written, interpersonal and organizational skills.
- Background and understanding of the internal processes of medical facilities and med-legal terminology.
- Ability to type 50 wpm.
- Must be willing to work onsite at Mckinley, Taguig.
- Must be willing to work on a night shift schedule.
