We are seeking a detail-oriented and reliable Talent Operations Specialist to support critical stages of the talent acquisition lifecycle, including Intake, Onboarding, and Screening. This role serves as a key operational backbone—ensuring requests are processed accurately, candidates are onboarded compliantly, and screening activities meet quality and turnaround standards.
The ideal candidate is highly organized, process-driven, and comfortable working in high-volume, SLA-driven environments with both administrative and voice components.
✔ Qualifications:
- At least 1 year of administrative experience, preferably in onboarding, screening, HR operations, or an HR Generalist role
- Exceptional attention to detail and strong data accuracy
- Strong written and verbal communication skills
- Comfortable working in ATS and multi-system environments
- Willing to work onsite in Makati three (3) days per week
- Key Responsibilities:
- Intake Operations
- Monitor and manage the Intake mailbox, responding to requests within established SLAs
- Process new order and intake requests accurately in the KSN system
- Validate intake details for completeness, accuracy, and client-specific requirements
- Select and initiate correct workflows and routing paths
- Maintain clear, audit-ready documentation and system notes
- Identify missing or conflicting information and resolve prior to downstream processing
- Escalate exceptions, risks, or unclear requests appropriately
- Onboarding Operations
- Manage end-to-end onboarding activities from initiation through Day 1 readiness
- Process I-9s, forms, and required onboarding documentation accurately and on time
- Update onboarding, placement, and employment statuses in ATS systems
- Coordinate with candidates and internal stakeholders to resolve onboarding issues
- Ensure compliance with onboarding standards, SLAs, and audit requirements
- Identify and mitigate onboarding risks, errors, or delays
- Screening Operations
- Initiate and manage background checks and drug screenings
- Assign correct screening packages, vendors, and workflows
- Monitor screening progress and follow up on pending or incomplete cases
- Review screening results and flag risks or discrepancies
- Update screening statuses and documentation accurately in ATS systems
- Escalate screening issues and compliance risks according to protocols
- Ensure adherence to quality, compliance, and turnaround standards
