Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday Philippines Time)

Who The Client Is: A globally‑recognized finance company in Australia.
Role Overview:
The Executive Assistant is responsible for supporting the Director in day-to-day operations by managing communication, scheduling, and task coordination. This includes overseeing the Director’s email inbox, ensuring messages are triaged, delegated, or actioned promptly and appropriately.The Executive Assistant acts as a key liaison between the Director and clients and internal team members. In addition to direct support for the Director, the role contributes to broader team functionality by assisting with administrative tasks across client onboarding, deal progression, and document management.
This support ensures operational efficiency and frees up team members to focus on their core roles.
Key Responsibilities:
For Director:
- Monitor and manage Director’s inbox and emails, filtering messages according to internal protocols
- Forward emails to appropriate team members or respond on behalf of the Director where appropriate.
- Schedule meetings and appointments with clients and external parties.
- Provide the Director with daily reminders of critical tasks and follow-ups.
- Maintain and update the Director’s calendar with all relevant meetings, events, and deadlines.
Team Support for the Client Onboarding Officer:
- Create new leads in BrokerEngine as required.
- Send Cash Deck requests to clients or lenders.
- Create new Dropbox folders using naming templates.
- Locate and transfer older client documents into new folders for consistency.
- Save, rename, and organise documents within Dropbox in line with file protocols.
- Save and organise finalised Cash Decks.
- Run and save Equifax reports.
- Download and file deal reports in Dropbox.
Support for the Deal Building and Support:
- Save submitted or generated documents to Dropbox folders.
- Assist with pricing comparisons and structuring support.
- Order and manage valuations when required.
- Review Pat’s calendar and ensure all meetings are correctly scheduled and prepared for.
- Maintain clean and up-to-date email and task lists.
- Check in with team members to confirm completion of delegated tasks.
- Reconcile any outstanding follow-ups from the Director’s communication backlog.
- Assist with monthly planning meetings by ensuring agendas, notes, and follow-ups are documented.
- Provide administrative support during reporting and strategic review periods as needed.
Requirements
Required Skills and Qualifications:
- Proven experience supporting senior executives (EA, Team Assistant, or Business Support roles).
- Strong organisational and time management skills; ability to juggle competing priorities.
- Excellent communication (verbal and written) and interpersonal skills.
- Proactive, solutions-focused mindset with a high degree of discretion and professionalism.
- Proficiency in Broker Engine, Apply online, Quickli, Microsoft 365 (Outlook, Excel, PowerPoint, Teams) and other collaboration tools
- Passionate about finance
- Someone who is ideally down to earth, proactive, happy to help
- Confident in supporting a Director and holding to account on questions and queries
- Ideally has worked in Finance/Mortgage Broker

This is a remote role that will be set up via an Employer of Record (EOR) service.
