Certification Assistant

Key Responsibilities
Certification & Administrative Support- Maintain and organize certification records and documentation
- Assist in the preparation and submission of certification applications
- Ensure certification processes comply with relevant standards and regulations
- Coordinate with clients, certification bodies, and internal teams
- Input, update, and manage certification data in internal systems
- Provide administrative support, including scheduling meetings and preparing reports
- Maintain the company’s Quality System, including document control (updates, revisions, archiving obsolete versions)
- Monitor staff qualifications, training requirements, and audit readiness
- Support accreditation audits and internal quality audits
- Assist in developing and tracking Key Performance Indicators (KPIs)
- Perform other related duties as assigned
- Assist in the contracting process, including application review and client communication
- Monitor audit cycles and timelines
- Coordinate auditor and client schedules, audit allocation, and notifications
- Support pre-audit and post-audit documentation processing
- Assist in audit assessments, checklist reviews, and non-conformity tracking
- Help finalize audit reports and update certification systems
- Coordinate with certification offices regarding audit-related matters
- Assist in audit planning, including surveillance and unannounced audits
- Support label assessments and product scope updates
- Perform other related duties as assigned
- Bachelor’s degree holder, preferably related to social, food safety, or agriculture
- Cumulatively, minimum of (2) two to three (3) years of work experience in any production industry
- Willingness to travel extensively (both abroad and domestically)
- Report-writing skills
- Presentation and interviewing skills
- Good command of the English language
- Ability to make independent decisions through a systematic and analytical approach
