Position Overview

Hearth Homes LLC is seeking a detail-oriented Virtual Assistant (VA) to act as a Project Manager for multiple residential renovation and flip projects. The VA PM will coordinate schedules, track orders, manage budgets, and facilitate communication with the General Contractor—all while working remotely.

Key Responsibilities
  • Project Coordination:
  • Develop, update, and maintain project schedules in Buildertrend.
  • Assign tasks, set deadlines, and monitor progress across multiple projects (6+ simultaneously).
  • Communication & Collaboration:
  • Serve as the primary point of contact for the General Contractor.
  • Maintain daily communication with the General Contractor via Slack, email, and scheduled video calls.
  • Facilitate invoice approvals and order tracking in designated Slack channels.
  • Order & Invoice Management:
  • Enter and track all material and equipment orders in Slack on behalf of the General Contractor.
  • Review incoming invoices for accuracy and route them for General Contractor approval.
  • Ensure timely documentation of all invoices.
  • Budget & Cost Tracking: & Collaboration:**
  • Serve as the primary point of contact for subcontractors, vendors, and the General Contractor.
  • Maintain daily communication with the General Contractor via Slack, email, and scheduled video calls.
  • Facilitate invoice approvals and order tracking in designated Slack channels.
  • Order & Invoice Management:**
  • Enter and track all material and equipment orders in Slack.
  • Review incoming invoices for accuracy and route them for Owner approval.
  • Ensure timely payment and documentation of all invoices.
  • Budget & Cost Tracking:
  • Log estimates, actual costs, and budget updates in Buildertrend.
  • Produce weekly budget reports, flagging any variances or potential overruns.
  • Reporting & Documentation:
  • Prepare and distribute weekly progress reports, including photos, change orders, and issue logs.
  • Maintain project files, permit logs, and inspection records in shared cloud storage.
  • Quality Control & Daily Logs:
  • Ensure daily logs (activities, labor hours, materials used) are recorded 2–3 times per week.
  • Flag quality or safety concerns immediately to the Owner.
  • Administrative Support:
  • Schedule meetings, inspections, and status calls as directed by the General Contractor.
  • Manage shared calendars, reminders, and follow-up tasks in coordination with the General Contractor.
Qualifications## Qualifications
  • 2+ years’ experience in construction project coordination or VA support.
  • Proficiency with Buildertrend (scheduling, budgeting) and Slack.
  • Strong organizational and multitasking skills; able to manage 6+ projects concurrently.
  • Excellent written and verbal communication in English.
  • High level of initiative, problem-solving, and attention to detail.
  • Reliable internet connection and availability during Pacific Time business hours.
Compensation & Terms
  • Rate: $1,200–$1,500 per month (negotiable based on experience).
  • Hours: Minimum 35 hours per week, with flexibility for project demands.
  • Contract: Independent contractor agreement; all job-related expenses reimbursed.
  • Performance Metrics: On-time budget adherence bonuses; penalties for late deliverables per GC agreement structure.
