Job Overview
We are seeking a highly skilled AU Executive Financial Assistant with NDIS bookkeeping experience to join our team and support our financial operations and executive leadership. As an Executive Financial Assistant , you will play a critical role in managing financial processes, payroll, invoicing, and NDIS claims and reconciliations while also assisting the CEO and Accountant with accounting matters.You will be responsible for ensuring compliance, preparing financial reports, and handling key executive administrative (EA) tasks as required. Job Description
As an Executive Financial Assistant, part of your responsibilities include:
- Bookkeeping & Financial Management: Maintain accurate financial records, process transactions, and reconcile accounts.
- NDIS Claims & Reconciliations: Manage NDIS claims, reconcile funding, and ensure timely payments.
- Payroll Processing: Handle payroll functions, ensuring accuracy and compliance with Australian regulations.
- Invoicing & BAS Preparation: Generate invoices, manage accounts receivable/payable, and assist in Business Activity Statement (BAS) preparation.
- Financial Reporting: Prepare and present financial reports for the CEO and Accountant, ensuring compliance with accounting standards.
- Liaising with Key Stakeholders: Collaborate with the CEO, Accountant, and other relevant team members on financial matters.
- Executive Assistance (EA) Tasks: Provide administrative support to the CEO, including scheduling, correspondence, and document preparation.
- Minimum 5 years of relevant experience in an Executive/Financial Assistant role under an NDIS organization.
- Experience working for an Australian Client/Business is required.
- NDIS bookkeeping and claims experience.
- Strong proficiency in Xero and MYOB.
- Solid knowledge of Australian bookkeeping standards.
- Highly skilled in Microsoft Office (Excel, Word, Outlook, etc.).
- Strong attention to detail, analytical skills, and problem-solving abilities.
- Ability to work independently and manage multiple priorities.
- Experience with VisualCare software.
- Previous Executive Assistant (EA) experience.
- Prior experience in financial roles within the NDIS or healthcare sector.
