Manila - Front Desk / Receptionist - Ayala Alabang

Responsibilities:

  1. Administrative Support:
  • Provide administrative assistance to the facility’s administrative manager.
  • Handle tasks such as scheduling meetings, managing calendars, and organizing paperwork.
  • Prepare reports, presentations, and correspondence.
  1. Accounts Payable:
  • Process accounts payable for the facilities department.
  • Review invoices, verify accuracy, and ensure timely payments.
  • Maintain records of financial transactions related to facility expenses.
  1. Supply Management:
  • Order office supplies, custodial supplies, and other necessary items.
  • Monitor inventory levels and restock as needed.
  • Coordinate with vendors and negotiate pricing.
  1. Facility Maintenance:
  • Assist with basic maintenance tasks (e.g., changing light bulbs, minor repairs).
  • Coordinate repairs and maintenance services with external contractors.
  • Ensure that facilities are clean, safe, and well-maintained.
  1. Communication and Customer Service:
  • Respond to requests from employees, clients, or visitors regarding facility-related matters.
  • Address inquiries, resolve issues, and provide excellent customer service.
  • Maintain a positive and professional demeanor.
  1. Record Keeping:
  • Maintain accurate records related to facility expenses, repairs, and maintenance.
  • Update databases, spreadsheets, and other documentation.
  1. Health and Safety Compliance:
  • Ensure compliance with health and safety regulations within the facilities.
  • Report any safety hazards or incidents promptly.
  • Participate in emergency drills and evacuation procedures.
  1. Team Collaboration:
  • Work closely with other administrative staff, facility managers, and department heads.
  • Collaborate on projects and initiatives to improve facility operations.
Qualifications & Experience
  • Bachelor’s degree holder in fields like Business Administration or Hospitality.
  • At least one year of experience demonstrates that you’ve already developed practical skills in a similar role.
  • Amenable to work onsite, dayshift or night shift.
  • With pleasing personality.

Note: We have 2 vacancies for this role. 1 day shift and 1 night shift.
