The HSE and HR Operations Officer provides day-to-day administrative, operational, and systems support to ensure the effective implementation of HSE programs anchored from the HSE Governance Strategy. The role also supports HR initiatives related to training, employee engagement, and vendor coordination.

This role is focused on coordination and follow-through, particularly in managing vendor payments, tracking key HSE activities, and supporting workplace engagement efforts, enabling the Corporate HSE Manager to focus on governance, strategy, and oversight.

Key Responsibilities

Vendor Management and P2P Coordination
  • Manage end-to-end P2P processes for HSE and select HR-related vendors
  • Support payments for clinic services, medical supplies, PPE procurement, training
providers, and engagement vendors
  • Track PR, PO, and payment status and coordinate with SCM and vendors
  • Maintain a vendor tracker covering contracts, costs, and renewal timelines
Emergency Preparedness Support
  • Maintain and update the Emergency Response Directory
  • Monitor expiry and renewal of First Aid and other ERT certifications
  • Support logistics for drills and emergency response activities
  • Ensure availability of first aid kits and emergency response tools
  • Coordinate with outsourced technical support vendors in case of needed Safety Officer for corporate events
PPE and Emergency Equipment Management
  • Maintain PPE inventory tracker and monitor stock levels
  • Coordinate timely replenishment of PPE
Training and Employee Engagement Coordination
  • Coordinate logistics for HSE trainings, awareness sessions, and employee engagement initiatives (e.g. First Aid, Mental Health Awareness)
  • Manage venue reservations, vendor coordination, and materials preparation
  • Track participation and maintain training and engagement records
  • Support planning and rollout of wellness engagement activities in coordination with HR and Branding/Communications
Facilities and Workplace Safety Coordination (HQ)
  • Support and participate in HQ safety floorwalks
  • Document findings and track closure of action items
Systems and Reporting Support
  • Back-up Admin Support for SafetyCulture
  • Assist in site checklist updates, inspections, and action tracking
Environmental Compliance Support (as allowed by local regulations)
  • May serve as Pollution Control Officer (PCO) if qualified and permitted
  • Support environmental compliance documentation and coordination, such as submission of Self Monitoring Report (SMR) and waste hauling
QUALIFICATIONS AND SKILLS
  • Bachelor’s degree in any related or relevant field
  • Detail-oriented, with strong coordination and communication skills, and
comfortable engaging with vendors and different stakeholders to manage tasks, follow-ups, and deliverables
  • Proficient in MS Office (especially Excel), with the ability to quickly learn and adapt to new tools and systems
  • Experience in project or program coordination, including planning, tracking, and follow-through, is preferred
  • Exposure to or natural interest in HSE, workplace safety, or employee wellbeing initiatives is an advantage
  • Able to work independently with minimal supervision while staying aligned with direction, priorities, and established processed.

  • Must be open to work 1 year project-base with an option to extend and asborp depending on the business direction
