Virtual Assistant (Executive Assistant)

Summary of the Role

The Virtual Assistant acts as a force multiplier for the executive they support, removing friction, anticipating needs, and accelerating decision-making. This role goes beyond traditional admin support — it requires understanding shifting priorities in real time, protecting the executive's focus during high-leverage hours, and ensuring nothing promised or discussed ever falls through the cracks.

Success is measured by how much friction is removed from the executive's day.

Key Responsibilities
  • Daily Briefing & Planning: Prepare and deliver a daily briefing covering top priorities, items requiring review, and critical items, on a fixed daily deadline
  • Priority Management: Track and drive progress on the executive's top priorities daily; escalate immediately when priorities are unclear rather than assuming
  • Focus Protection: Safeguard the executive's deep work blocks by filtering out low-level admin questions and handling only true emergencies during protected hours
  • Meeting Support ("Shadowing"): Join meetings alongside the executive to capture context, action items, and deadlines; track and follow up on commitments so the executive doesn't have to remember them
  • Proactive Follow-Through: Anticipate next steps (e.g., scheduling follow-ups) without waiting to be asked, and flag missed points or needed pivots after meetings
  • Multi-Channel Communication: Manage communication across messaging and email — using quick channels for speed and updates, and email for documents and longer-form context
  • Clear, Concise Communication: Lead with the answer or solution first, followed by supporting context, ensuring information is simplified rather than adding noise
Requirements
  • Proven experience as an Executive Assistant, Virtual Assistant, or similar high-trust support role
  • Strong organizational skills and the ability to manage shifting priorities under time pressure
  • Excellent written and verbal communication skills, with the ability to summarize complex information clearly and concisely
  • Demonstrated ability to take initiative and anticipate needs rather than waiting for instructions
  • Comfortable working across multiple communication channels (messaging apps and email)
  • High attention to detail, particularly in tracking commitments, deadlines, and action items
  • Ability to work independently while staying closely aligned with the executive's priorities
Preferred Qualifications
  • Experience supporting C-level executives or founders
  • Background in fast-paced, high-growth environments
