About The Role

As Legal Contracts Administrator, you will help us open studios smoothly across Australia, New Zealand, Singapore and beyond. You’ll keep our leases clean, aligned to agreed terms, and on schedule.

You'll lead lease execution from agreement to completion. You will ensure the executed lease mirrors the heads of terms or letter of offer, push back when clauses do not match, and liaise confidently with landlords, agents, and property managers while collaborating with our Expansion and Investor Relations teams to get every deal signed correctly and on schedule.

What you’ll do:

  • Lease review and term assurance: Review, analyse and redline ATLs, Retail/Commercial Leases, Assignments, Incentive Deeds and Disclosure materials against agreed commercial terms. Identify gaps and risks; propose plain-English fixes that align with the agreed position.
  • Drafting: Prepare straightforward special conditions where needed (e.g. DA/resource consent fallbacks, A/C capital works, rent-free/incentive mechanics, renewal notice timing, make-good clarity).
  • Compliance and escalation: Ensure fit with Australian retail/commercial frameworks and practical alignment to NZ and Singapore.
  • Contract administration: Call and email agents/landlords proactively to resolve missing clauses or wording slippage. Log actions and follow through until corrected documents are received.
  • Document control and tracking: Manage versions, signatures, certificates, bank guarantees, notices and closing sets in Box/Drive. Keep key lease details and dates accurate in trackers/CRMs.
  • Critical dates: Track and prompt actions for rent commencement, rent-free, incentives, CPI reviews, options, expiries, landlord works and guarantee returns. Prepare and dispatch simple notices and cover letters.
  • Process and systems: Maintain high standards for naming and filing. Contribute playbooks, clause banks and checklists. Recommend improvements to templates, trackers and approval workflows.

To secure an interview, you should possess the following:

  • Experience in commercial/retail leasing contracts administration or property-law support.
  • Tertiary qualifications in Law, Property or related discipline preferred, or equivalent practical experience.
  • Direct contact experience with landlords/agents/property managers; confidence pushing back respectfully to enforce agreed terms.
  • Strong document review skills and communication.
  • Proficiency with Google Workspace, Adobe and document repositories (Box/Drive); familiarity with trackers/CRMs (e.g. Salesforce) and Notion is a plus.
  • Excellent organisation and punctuality across multiple concurrent files.
  • Working knowledge of Australian retail/commercial leasing; adaptable to NZ and Singapore.

It's a plus if you have:

  1. Exposure to New Zealand and Singapore leasing customs.
  2. Experience drafting straightforward special conditions and side letters.
  3. Comfort with basic lease economics: base rent vs outgoings, CPI mechanisms, incentives and option timing.
