Medical Administrative Virtual Assistant | AU Client - WFH
Are you an organised, detail-driven VA with solid admin experience looking for a long-term role with real room to grow? We're hiring on behalf of an Australian medical practice looking for their first Medical Administrative Virtual Assistant to join their team.
About the Role
You'll start by managing incoming faxes and emails, making sure results and correspondence get to the right doctor, and handling the practice's overdue recalls process — generating and sending recall letters to GPs and patients. Full training on the practice management software (Genie) will be provided, so no medical background is required.
This is a genuine long-term opportunity. As you settle in and build trust with the team, there's real scope to grow into other areas of the practice, including bookings and diary management, and eventually patient-facing phone support.
What You'll Do:
- Monitor and process incoming faxes and emails, allocating them to the correct doctor
- Manage the overdue recalls process from template to send-out
- Keep accurate, complete records in the practice management software
- Communicate with the team through the practice's internal platform
- Handle patient information with strict confidentiality and care
- Take on new responsibilities as the role expands
What We're Looking For:
- 3–5 years of experience in a virtual assistant, administrative, or customer support role
- Excellent written and spoken English
- Strong organisational skills and attention to detail
- A mature, professional, team-oriented attitude
- Comfortable learning new software systems
- Reliable, with the intention to stay and grow long-term with the team
- Own laptop or desktop (Windows Pro preferred) — candidate must be able to provide their own equipment
- Prior medical or healthcare admin experience is a plus, but not required
