Job Description:
- Inbox Management
- Take full ownership of the CFO and President’s email inboxes.
- Ensure Inbox Zero is maintained daily by triaging, organizing, and responding
- Proactively filter out spam and irrelevant communications using rules, deny
- Leave only emails that require direct executive attention or response.
- Draft and send professional correspondence on behalf of the executives.
- Calendar & Scheduling
- Manage complex calendars, including scheduling meetings, appointments,
- Anticipate scheduling conflicts and proactively resolve them.
- Communication & Coordination
- Act as the primary liaison between the executives and internal/external
- Prepare and review communications, presentations, and reports for executive
- Coordinate logistics for meetings, conferences, and events, including venue
- Administrative Support
- Create, maintain and organize confidential files and ensure the integrity of
- Monitor and prioritize incoming requests, ensuring timely follow-up and
- Assist with special projects and perform research to support executive
- IT Support
- Manage IT Support Cases and Salesforce development coordination.
- Build reports using Power BI and similar.
- Sage 100 and Salesforce updates.
- Performs all other duties as assigned.

equivalent combination of education and experience.
- Language Skills – Ability to read, analyze, and interpret common scientific and technical
journals, financial reports, and legal documents. Ability to respond to common inquiries
or complaints from customers, regulatory agencies, or members of the businesscommunity. Ability to effectively present information to management, public groups, and/or board of directors. Ability to interact clearly and effectively, in both written and
oral communication, with supervisor, clients, staff, vendors, etc.
- Mathematical Skills – Ability to apply concepts such as fractions, percentages, ratios,
- Computer Skills - To perform this job successfully, an individual should be proficient in
activity, word processing, spreadsheet, graphics, etc.
Non-negotiable skills & requirements:
- Working knowledge of Power BI for data visualization and executive dashboards.
- Experience using Sage 100 for financial or operational support.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and multitasking abilities with a keen attention to detail.
- Outstanding verbal and written communication skills.
