Role Summary:

The Recruitment Coordinator supports end-to-end talent acquisition operations by managing candidate pipelines across multiple sourcing channels, conducting initial screenings, and guiding candidates through each step of the hiring process. The role partners closely with recruiters, hiring managers, HR, and external vendors to coordinate interview logistics, maintain accurate ATS/tracker records, and ensure a consistent, high-quality candidate experience.

Responsible for supporting hiring events and university engagements, the coordinator monitors progress against team KPIs/OKRs, drives timely endorsements to next steps, and ensures recruitment documentation and processes remain organized, compliant, and efficient.

Essential Responsibilities:

  • Consolidate and validates the talent leads generated through different source channels such as employee referral, online job portals, university engagements, and vendor endorsements.
  • Review and manage applications in Workday (ATS), validating leads from multiple sourcing channels (employee referrals, job portals, university pipelines, and vendors) and conducting initial screening via virtual/phone outreach and in-person interviews to assess fit and readiness.
  • Support end-to-end recruitment operations, including test administration/coordination, accurate filing and maintenance of 201/employee records, and timely updates to the Applicant Hiring Tracker/ATS to ensure data integrity, compliance, and real-time status visibility.
  • Guide candidates through the end-to-end recruitment process, providing clear instructions on next steps, requirements, and timelines.
  • Coordinate interview scheduling and timely endorsements to the appropriate recruiters/hiring managers for the next stage, ensuring a smooth and responsive candidate experience.
  • Own recruiting KPIs/metrics (e.g., time-to-schedule, time-to-fill support measures, interview-to-offer cycle time, candidate satisfaction SLAs), monitor progress, and recommend process improvements.
  • Maintain accurate, compliant documentation and real-time updates in the ATS/HR systems; ensure data integrity for reporting and audit readiness.
  • Coordinate hiring events and engagement activities (career fairs, information sessions, interview days), managing partner/venue logistics, communications, and day-of execution.
  • Build strong partnerships and engage stakeholders (recruiters, hiring managers, interviewers, HR partners) to align on priorities, interview plans, and hiring milestones.
  • Communicate clearly and proactively with candidates and internal teams, providing status updates and resolving scheduling conflicts quickly.
  • Identify opportunities to streamline coordination workflows (templates, trackers, standardized processes) to improve efficiency and consistency.
  • Perform duties that may be assigned from time to time.

Basic Qualifications:

  • Bachelor's degree in Human Resources, Psychology, Business Administration and Management or a graduate of any 4 or 5-year related course.
  • Proficiency in MS Office particularly with Excel, Word, Power point and outlook.
  • Ability to meet hiring goals within a fast-paced environment.
  • Excellent oral, written and interpersonal communication skills.
  • Ability to maintain a high degree of confidentiality.
  • Amenable to work on a shifting schedule, extended work hours and holidays and weekends (if needed by the business)
