Titan Services Inc is seeking a detail-oriented, proactive, and tech-savvy Virtual Assistant (VA) to join our Roofing industry client full-time. The ideal candidate will provide robust administrative, operational, and sales support to streamline our workflows, ensure follow-through, and maintain a high level of team coordination.This position requires proficiency in Microsoft Office Suite, Adobe, Canva, and popular social media platforms such as Instagram and Facebook.
You’ll play a key role in organizing and enabling the sales team, managing communications and calendar scheduling, maintaining our CRM, creating SOPs, handling insurance-related documentation, assisting with estimate preparation, and providing social media support.We are looking for someone with a servant heart, who thrives in a fast-paced environment and is passionate about contributing to a company's growth through precision and service.
Key Responsibilities
Administrative & Operational Support- Manage and organize calendars, appointments, and email correspondence
- Create, document, and store Standard Operating Procedures (SOPs) and task walkthroughs
- Maintain internal systems and trackers to ensure all tasks and projects are up-to-date
- Coordinate with the team to ensure timely completion of tasks and process adherence
- Provide administrative support to the sales team by tracking leads, appointments, and follow-ups
- Oversee CRM to ensure sales workflows are being followed and data is kept current
- Make outreach attempts (email/SMS/phone) to engage leads and nurture prospects
- Support estimating tasks including drafting and organizing proposals and estimates
- Assist in planning, creating, and posting content on Instagram and Facebook
- Use Canva or similar tools to design marketing materials when needed
- Coordinate social media scheduling and maintain an organized posting calendar
- Support insurance-related tasks including file management, claim tracking, and communications
- Ensure documents and records are updated, accessible, and compliant with internal protocols
- 2+ years of administrative or virtual assistant experience
- Proficiency in Microsoft Office Suite, Adobe, Canva, and CRM platforms
- Strong written and verbal communication skills in English
- Organized, detail-oriented, and able to manage multiple tasks independently
- Experience with outreach via email, phone, and SMS
- Self-starter with a strong work ethic and commitment to excellence
