The Qualifications We Seek
Qualifications & Experience:
- Minimum 5 years experience in workforce planning, rostering, or operations coordination
- Experience supporting healthcare, aged care, or large workforce environments (highly preferred)
- Strong understanding of scheduling, staffing ratios, or care-hour models (experience with Direct Care Minutes or similar metrics is a strong advantage)
- Experience supporting Australian clients or working with international teams is highly desirable
- Proficiency in rostering/scheduling systems and Microsoft Excel
- Strong analytical, organizational, and problem-solving skills

Additional Details:
- Proven experience in workforce management/rostering at a senior level
- Mandatory expertise in rostering and scheduling, including workforce allocation and staffing ratios (e.g., person-to-bed ratios)
- Experience in aged care or healthcare environments is highly preferred, with exposure to Australian clients or regulatory settings as an advantage
- Strong understanding of compliance requirements in workforce scheduling within regulated industries
- Demonstrated ability to work autonomously and take ownership
- Highly organized with strong prioritization skills in high-pressure environments
- Strong problem-solving mindset with the ability to anticipate and address issues
- Excellent communication and coordination skills across Payroll, HR, Admin, and Operations/Home Managers
- Ability to participate in regular stakeholder meetings and leadership alignment sessions
- Strong attention to detail in scheduling accuracy and reporting
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Strong professional judgment and leadership capability suited for a senior managerial role

Your Daily Tasks
Workforce Planning, Rostering:
- Manage and oversee rostering across multiple aged care facilities in Sydney
- Maintain master rosters across all sites with final sign-off authority
- Review, adjust, and approve rosters prior to publication
- Ensure rosters meet Direct Care Minutes (DCM) requirements with proper staff allocation
- Monitor daily and weekly DCM performance and escalate risks proactively
- Optimise workforce composition to balance care quality, compliance, and labour cost
- Identify staffing gaps and coordinate solutions with site managers
Recruitment Coordination & Workforce Deployment:
- Coordinate with HR, training, payroll, and site managers to support hiring and onboarding
- Ensure new employees are set up correctly, including contracts, classifications, and training
- Support rapid workforce deployment to maintain safe staffing levels
- Ensure onboarding documentation and system access are completed accurately
- Verify HR paperwork for new hires and terminations
- Oversee onboarding consistency across departments
Leave & Workforce Management:
- Manage leave requests while maintaining staffing coverage
- Ensure continuity during planned and unplanned absences
- Monitor absenteeism, overtime, and workforce utilisation trends
- Recommend improvements to workforce stability and efficiency
Compliance, Reporting & Industrial Support:
- Support compliance with Australian Fair Work Awards and Enterprise Agreements
- Ensure rostering aligns with employment regulations and policies
- Track and report Direct Care Minutes (DCM) performance and drive improvements
- Provide reports on workforce metrics, labour costs, and risks
- Assist with audits and compliance reviews
Collaboration & Stakeholder Management:
- Work closely with site managers, HR, payroll, trainers, and admin teams
- Act as a central coordination point to streamline workforce processes
- Provide oversight and direction to administrative staff across sites
- Support continuous improvement in workforce systems and processes
- Train site admin officers in rostering as needed
