Job Description:

We are seeking a highly organised and proactive Marketing & Administration Assistant to support marketing, client communication, and administrative operations. This role plays an important support function, helping maintain systems, coordinate marketing activities, and ensure administrative processes run smoothly.

Key Responsibilities

Marketing Support
  • Assist with promoting Fur Elise hampers, the ABC Directory, and the company through various marketing activities.
  • Schedule and maintain social media posts across multiple brands, including the company, Frenchmead, Fur Elise, and the ABC Directory.
  • Prepare and send newsletters via MailChimp for the company and Frenchmead.
  • Support cross-promotion of services by contacting existing customers about additional services offered within the group.
Client Communication & CRM Support
  • Maintain and update the company CRM system, including adding contacts, updating client statuses, and updating client communication templates once implemented.
  • Send documents such as engagement agreements, authorities, and letters to clients using Adobe Sign following established procedures.
Monitor Adobe Sign activity and follow up on outstanding signatures or approvals.
  • Assist with client follow-ups for outstanding information such as bank statements or timesheet approvals.
  • Help manage the accounts email inbox, allocating and organising tasks through ClickUp or similar systems.
Administrative Support
  • Download supplier invoices from Bunnings and other supplier portals.
  • Download and organise bank statements and ICA documentation.
  • Assist with checking supplier statements for client accounts.
  • Download and organise call recordings from the Levit8 system.
Contractor & Directory Administration
  • Maintain the subcontractor directory for the ABC Directory by verifying licences, confirming Australian addresses, and tracking contractor availability, service areas, and work dates.
Operational Assistance
  • Send reminders through the Simple-T system for employees to submit timesheets for approval.
  • Assist with maintaining organised digital files and administrative records.
  • Provide general administrative support to the team as required.

Qualification and requirements:

Key Skills & Experience
  • Previous experience in an administration, marketing assistant, or office support role.
  • Strong organisational and time management skills.
  • High attention to detail and accuracy when managing data and documentation.
  • Basic experience with marketing tools such as MailChimp and social media platforms.
  • Comfortable working with systems such as Excel, Adobe Sign, CRM software, and online portals.
  • Strong written and verbal communication skills.
  • Ability to follow procedures and manage multiple tasks effectively.
Desirable
  • Experience supporting a professional services or accounting environment.
  • Familiarity with project or task management tools such as ClickUp.

Non-negotiable skills & requirements:

  • Previous experience in an administrative, marketing assistant, or office support role.
  • Basic experience with marketing tools such as MailChimp and social media platforms.
  • Comfortable working with systems such as Excel, Adobe Sign, CRM software, and online portals.
