Executive Assistant

Duties and Responsibilities:

  • Manage and maintain the Executive’s calendar, including scheduling appointments, meetings, and conferences.
  • Prepare and organize materials for meetings, presentations, and conferences.
  • Manage and prioritize incoming email and telephone calls, responding on behalf of the Executives when appropriate.
  • Collaborate with internal and external stakeholders, including clients, suppliers, staff and partners.
  • Prepare and manage budget, expenses and assist with other financial tasks.
  • Assist with the preparation of reports, presentations, and other documents.
  • Conduct internal audits to ensure compliance with company policies and procedures.
  • Prepare audit reports and make recommendations for improvement.
  • Work with other departments to ensure that corrective actions are taken.
  • Act as a gatekeeper and ensure that the Executive time is utilized effectively.
  • Manage and prioritize multiple projects simultaneously.
  • Ensure that all administrative tasks are completed accurately and on time.

Qualifications:

  • A Bachelor's degree in Business Administration or any four-year course.
  • At least 1 year of experience as an Executive Assistant or a similar role.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills, both written and verbal in English.
  • Ability to handle confidential information with discretion.
  • Proficient in Microsoft Office and other relevant software.
  • Ability to work independently and as part of a team.
  • Proactive approach to problem-solving.
  • Excellent time management skills.
  • Ability to manage multiple projects and deadlines simultaneously.
