The Onboarding Specialist plays a critical role in ensuring a seamless and positive experience for new hires from the point of offer acceptance to their first day. This role supports the execution of end-to-end onboarding processes in alignment with the Talent Acquisition goals and operational timelines.
This role focuses on- Onboarding Coordination and Execution
- Coordinate onboarding logistics including orientation schedules, ID issuance, uniform distribution, and pre-employment medical checkups.
- Monitor, validate, and ensure the completeness of pre-employment requirements submitted by candidates.
- Collaborate with Talent Development for onboarding program alignment and timely transition of new hires.
- Summarize weekly list of new hires and assist with onboarding documentation and schedules.
- HR Systems and Reporting
- Maintain accurate application status updates within HR systems (Hatch/Cornerstone).
- Ensure candidates are correctly tagged to requisitions and hiring statuses are up to date.
- Support preparation of onboarding reports
- Maintain databases and track recruitment and onboarding progress of applicants for internal alignment.
- Compliance and Process Management
- Ensure all hiring and onboarding activities comply with company policies and data privacy regulations.
- Maintain a clean, organized, and systematic workspace with accurate documentation trails.
- Bachelor’s degree in Human Resources, Psychology, Business Administration, or a related field
- At least 1–2 years of experience in onboarding, recruitment, or HR coordination preferred
- Experience with HR tools such as Hatch or Cornerstone is an advantage
- Strong organizational skills, attention to detail, and the ability to manage multiple onboarding timelines simultaneously
- Excellent communication and coordination skills
- Knowledge of recruitment processes, employment documentation, and onboarding practices
- Familiarity with labor laws, data privacy, and compliance requirements is preferred
