Sales Documentation Officer

The SDC Officer also involves preparing reports, analyzing data, and creating clear presentations to support the sales team and management. This position is ideal for someone with strong skills in Microsoft Office, especially Excel and PowerPoint, with experience in handling data and reports.

Key Responsibilities

Document Management
  • Receive, store, and tag all sales documents in both physical files and the company database.
  • Check and proofread sales documents/contracts to ensure accuracy before releasing to buyers.
  • Track, update, and remove outdated documents when necessary.
  • Make sure all requirements are complete before processing Account Adjustments (AA) and Authority to Move-In (ATMI).
  • Maintain enough stocks of pre-printed forms used for documentation.
Sales Booking & Validation
  • Assign booking applications from sellers to the Sales Booking team for processing.
  • Review and approve contracts prepared by Booking Associates.
  • Monitor and guide reservation queues to avoid conflicts.
  • Check requirements for buyer/seller incentives and commission release.
Data Analysis & Reporting
  • Record and update daily sales in the database.
  • Prepare regular reports on sales performance and accomplishments.
  • Analyze sales data and share insights to help improve processes.
  • Create clear and professional presentations for management.
Support & Coordination
  • Provide admin support such as data entry, filing, scanning, and preparing reports.
  • Work closely with sellers, buyers, and internal teams to fulfill documentation needs.
  • Respond promptly and clearly to document-related inquiries.
  • Perform other duties as assigned by the department.

Qualifications:

  • Bachelor’s Degree in Business, Management, Information Systems, or related field.
  • At least 2–3 years of experience in sales documentation, admin, or data analysis.
  • Strong skills in Microsoft Office (Excel, PowerPoint, Word).
  • Experience in handling data, reports, and dashboards.
  • Strong attention to detail and organizational skills.
  • Good communication and presentation skills.
  • Can work independently and in a team.
